Your guide to Leave Reporting
Logging In • https://myleaverequest.sdbor.edu • Login using your SNAP username and password
Create a New Request • Choose the type of leave ( Annual, sick, etc…) • Choose the Beginning and Ending Hours • Choose the Start and End Date on the calendar • Add notes if necessary • Notes are REQUIRED when taking personal leave • Review and Submit • Pop-up box confirms request is submitted • Once approved, the time is AUTOMATICALLY entered into your timesheet
Create a New Request Pop-up Message after submitting
Create a New Request • One request can be used to submit time off when taking more than one day in a row, but ONLY when requesting the same exact time period off • EXAMPLE: I am taking a full week off, I would choose 8 am to 5 pm, then on the calendar my start date would be Monday and end date would be Friday, I would submit leave for 40 hours. • EXAMPLE: I am taking a day and a half off. I will choose 1 pm to 5 pm on Monday, and submit the 4 hour request. I would then create another request for 8 am to 5 pm on Tuesday and submit the 8 hour request. • EXAMPLE: I am taking off two afternoons, I will choose 1 pm to 5 pm on Monday and ending on Tuesday and submit the request, it will then populate the timesheet for 4 hours for each day.
My Pending Requests • View, edit and delete your pending requests
Editing a Request • My Pending Requests • Select Edit • This takes you to the leave request, you can then edit it as necessary and submit again • A pop-up box will confirm that your changes have been saved and an email • will be sent to your supervisor
Delete Pending Requests • If you request leave and then do end up not needing the day off you can delete the request in My Pending Requests • Select Delete • Select Yes • Your supervisor will receive an email notification that the request has been deleted.
My Processed Requests • View a history of your requests that have been approved/denied in My Processed Requests • You can also edit or delete requests that have been approved • Deleted requests will automatically be removed from the timesheet and an email will be sent to your supervisor • Editing processed requests sends a notification to your supervisor to go back and approve or deny it again • You follow the same steps as editing or deleting a request in My Pending Requests
Supervisors/SuperUsers • As a supervisor, you will have to manage leave requests for your employees • Approve • Deny • Edit • You will use the Administrator Link • You will be required to use a Proxy when absent
Selecting a Proxy • As a supervisor, when you take leave you will be required to select a Proxy to handle leave requests while you are absent • Proxies will match the proxies you have selected in SNAP
Administrator • To process (approve, deny or edit) requests you will need to click on the Administrator link on the top of the page • You will be taken to the View Pending Requests screen • Here you will view requests submitted to you for approval • Requests can be sorted by department, supervisor, and Users (employees)
View Pending Requests • Choose the request you want to view, click on Approve/Deny • If it needs to be modified, click on Edit
Approving a Request • Select “Approve” • An email is sent to the employee and you are re-routed to the Pending Requests screen • Notes can be added when necessary
Denying a Request • Select “Deny” • An email is sent to the employee and you are re-routed back to the Pending Requests screen • Notes can be added when necessary
Editing a Request • As an administrator you can edit both pending and processed requests when necessary • An employee may need you to edit a request for him/her while on leave, (e.g. – may need to extend sick leave for another day) • Click on Edit • Make the proper changes, add notes, and submit • Email is sent to the employee
View Processed Requests • You can view processed requests here (Approved or Denied) • If a request needs to be modified, click on Edit • You can also Delete requests here if needed
Deleting a request • You may need to delete a processed request for an employee • Example: An employee was approved for leave but ended up working so the request needs to be deleted • This automatically removes the leave from the timesheet • A confirmation email will be sent to the employee
Enter User Leave • You may also need to enter leave requests for an employee • Example: An employee is sick and cannot submit the request prior to timesheets being due • Choose Enter User Leave • Choose the employee’s name • Enter in the request and add notes where necessary • An email will be sent to the employee
Reports • You can currently review a report of all processed leave requests by fiscal year • Download and sort in Excel • More reports will be added in the future
