The Cumulative Info Screen and GPA • Cumulative Info (set up by school) shows various calculations on each student • The data is pulled from GPA calculations which are set up by District level PwrSchl Administrator • District—Setup---GPA Calculations (under Grading Functions) • However, you can often see them (most often “greyed-out”) • School Setup—GPA Student Screens (under Grading)

Why do we get unexpected results periodically? • Analyze specific GPA calculations • Are there Query Options built in to the calculations—if so, they override any query options you add to a search/export • Example—if school years or grade levels are specified in the calculation, excluding or changing them at the export/print level will have no effect • If they are NOT specified, you can/must specify them in the export/print request

  8. Honor Roll Methods • Setup • Verify and edit • Calculate • Run Honor Roll Reports • Once run, since GPA is listed, you can export to Excel and strip that column to send to the newspaper • Historical Honor Roll Status is stored

  9. Ineligibility Report--Simple Approach • Select students (i.e., m_basketball#) • Quick Export these fields • LastFirst • Grade_level • ^(*credit_hours;S1;2009) • If a GPA component exists, you can add that to the export

  10. Class Rank • Once again, refers to the GPA Method • In our district, two methods • Total Grade Points Earned (Weighted) • Weighted GPA • Specify from the School level, which rank to execute • At the Recalculation Frequency screen, choose Recalculate Now

  11. The Results • Will add records to the Class Rank table showing • School • Student • Rank • Out of number • Other data • Only run this once or duplicate records

  12. The Good News and the Bad News • The Good News: • When you run rank, you run all grade levels at one time • The Bad News: • When you run rank, you run all grade levels at one time

  13. Rank Report • You CAN print one grade level report at a time • ReportsClassRankingchoose grade level • Tip—copy and paste into Excel or Save the PDF file so you will have a permanent record

Troubleshooting Rank • If you have to re-run Class Rank, it is best to clear the Class Rank table for that school and semester • How to have one transcript even if two different Rank methods are used: • Edit the Object Report for the transcript and include a decode statement similar to this one on the following page

  15. Decode Statement • Class Rank: ^(decode;^(SchoolID;1090; ^(*classrank method=“Weighted” result=“RankOutOf”); ^(*classrank method=“TotalGradePoints” result=“RankOutOf”)) • This says “if school = 1090, use the Weighted rank method, otherwise use the Total Grade Points method

  16. How to deal with students you do NOT want to rank • The Class Rank process counts the number of students in the rank list • Those excluded from Class Rank are not on the list; therefore, they are not in the out of # • TIP—determine the size the class should be and using DDA, change the OutOf number in the Class Rank table for that Grade Level and Rank date
