Annual Endowment Reporting That’s a lot . . . So what do we do . . .
Annual Endowment Reporting First: What’s our goal? • How, in our decentralized environment, can we use reporting to move a donor forward in a gift discussion? • How can we use reporting to recognize and steward donors at the major gift and principal gift levels who’ve made campaign commitments – many of which are across multiple units?
Annual Endowment Reporting Annual Unified Report • Development leadership, lead unit development officers and donor relations staff across campus agreed that a centralized, unified report was needed • One report • All funds, regardless of administrator • Financial information • Impact (usage) information • Unified Report Task Force was created • Members were from UDO, UNC Medicine, Kenan-Flagler Business School and the College of Arts and Sciences
Annual Endowment Reporting Annual Unified Report – Phase 1 • Review of top 200 donors and prospects for the Campaign for Carolina • Looked at: • Donors who were currently in gift discussions at the major and principal gift levels or who we planned to engage during the campaign • Donors who had made significant commitments already • For FY16, 50 individuals were selected
Annual Endowment Reporting Annual Unified Report – Phase 2 • For FY17, 38 individuals were added to the process for a total of 88 unified reports • Total re-design of report format • Used InDesign to produce • Professional printing using saddle-stitched binding and high res photos • Added Campaign update
Annual Endowment Reporting Annual Unified Report – Phase 3 • For FY18, individuals receiving the report remained at 88 • Added the following: • For donors with scholarships, incorporated current year recipient roster, additional student information and scholarship program impact reports • For donors with family members, produced a simplified version of the unified report for them • Included more impact stories from the Campaign
Annual Endowment Reporting Annual Unified Report – What’s new for FY19 • Considering an additional 10 individuals to be added FY19 • Reviewing current recipients to determine if any should be removed from unified report process • Talking with current recipients to see if any family members should receive a copy of their report • Redesigning the four-page endowment investment piece to include more infographics
Annual Endowment Reporting Annual Unified Report – What’s new for FY19 In July, review of FY19 giving for each unified recipient so report is inclusive of all giving impact, not just to endowment – expendable funds, annual support funds, etc.
Annual Endowment Reporting How has the Unified Report been received? “This is a wonderful report and I deem it the absolute best donor service tool anywhere!” “Hope all is well in Chapel Hill! I just received my 2018 endowment report (combining all three gifts into one presentation). Wow, what a nicely done piece. Well done!” “Great idea! Makes me happy to see what we are doing.” “All my funds in one place – wonderful!”
Annual Endowment Reporting How has the Unified Report been received? “I got my endowment report yesterday. It is one of the most effective tools for donor good will and additional giving I have ever seen. Shared it with my wife and I watched as she read it. She was proud and enthused. As you know, she is not an easy sell. WELL DONE!”

Annual Endowment Reporting What have we learned? • Donors want to know the impact of their giving to your organization. • Donors want to see the financial impact of their giving to you. • Donors want to hear from and meet students and faculty benefiting from their gifts – cannot hear from them enough. • Your top donors want all of this information is one place.
Annual Endowment Reporting What have we learned? • Start small. • Be personal. • Look at the donor’s full impact across campus – not just to endowments. • Hand deliver them when possible • Great stewardship opportunity • Time to review impact and performance • Discuss future giving
