The Council on Botanical and Horticultural Libraries The CBHL Distributed Library Copy Requests and Interlibrary Loans Using the CBHL Distributed Library
Introduction The CBHL Distributed Library facilitates international resource sharing among botanical and horticultural libraries. In this presentation, users will learn how to request materials from other CBHL members.
Outline Requesting through the Distributed Library Requests for photocopies (non-returnable items.) Requests for the loan of books and other (returnable) items. Requesting through the CBHL Discussion List
Requesting Through the Distributed Library Requesting is limited to CBHL member organizations which have enrolled in the system. Search the CBHL Distributed Library For help in searching see the Guide to Content and Search Features tutorial http://library.calacademy.org/cbhl/common/resourcesharing.ppt
Requesting Through the Distributed Library From the list of search results, select the desired matching record. Links to local holdings appear in records for journals or other serials that contain an ISSN field. For libraries whose holdings appear as part of a larger institutional or union catalog, check the detailed holdings to verify that the CBHL member library owns the desired title. Vary your selection of holding locations to spread the burden of lending. Do not always select the same location!
Requesting Through the Distributed Library Click “Submit Borrowing Request”. Enter the CBHL user ID. Enter the CBHL password. Click “Submit ID and Password”. When CBHL membership is confirmed, click “Continue”.
Requesting Through the Distributed Library Confirm that the TITLE/AUTHOR information matches your request. Note the holding location’s lending policies. Do not proceed if you cannot comply with these policies. Indicate whether you are making a copy or loan request. Click “CONTINUE – Borrow from this Library”.
Requesting Through the Distributed Library If you are making a copy request, provide a complete citation for the journal, article, book chapter, etc. Select your library from the list of members. Click “CONTINUE – Verify your Library Information”.
Requesting Through the Distributed Library For a copy request, indicate which methods of delivery you accept. Enter a local note, if desired. Click “CONTINUE – Finalize Request”. Click “FINISH – Send Request”.
Requesting Through the Distributed Library Request goes to holding location via email; a copy of the request goes to your email. Holding location responds directly via email if the request can or cannot be filled. Material is sent directly to requesting library. Requesting library assumes responsibility for the safe receipt and return of all borrowed material.
Requests to the CBHL Discussion List Use only after searches of the CBHL Distributed Library have failed to find the desired item, or when holding locations within the Distributed Library are unable to fill the request. Send your request via email to cbhl@lists.cbhl.net with the subject line “ILL - (title)”.
Requests to the CBHL Discussion List Provide as much information about the item as possible. Limit each email to a request for one item only for multiple items send multiple emails! Send a follow-up email to the list when the request has been filled. Subject line reads: ILL FILLED – (Title)
