Goals The goal is to provide an Off-the-Shelf Automated Records Management System that is: • Simple • Intuitive • Straight-forward in its design and appearance • Allows single entry concept • Provides vital information efficiently • Assists in solving crimes • Assists with analysis based management decisions • Strategic • Tactical • Investigative • Administrative Records Management System

Oversight Working Group The Oversight Working Group: • Monitors and leads the Project Team’s activities • Ensures business objectives are being achieved • Liaison to the Steering Committee regarding project concerns Records Management System
Evaluation Working Group The Evaluation Working Group will observe vendor product demonstrations and through an evaluation process will ultimately recommend to SPD which product best fits our needs. Records Management System
Sub-Groups The Work Sub-Groups concentrate on specialized areas addressing a specific need. Sub-Groups • Change Management • Ensures department is prepared for RMS changes • Infrastructure • Considers needs of current data, applications, and interfaces in the new RMS • Risk Management • Mitigates Technical, Personnel, and Financial risks to the project • Process Management • Redevelop current process configuration to new system Records Management System
Department Involvement The new RMS will affect every member of the Houston Police Department; therefore, the installation of the RMS will: • Require involvement of all of HPD personnel • Need a comprehensive and focused methodology • Deal with issues which have very little to do with Technology • Deal with issues which have everything to do with our operational processes, procedures, and capabilities Records Management System
