Other Hours Types (besides Contract Hours and Leave Types) Oracle Timecards • Employees that need to enter time other than Contract Hours and Leave Types will need additional information from the office providing the funding. • Please check with your building secretary to determine if she already has the required quick code and other instructions. • The secretary may need to e-mail the funding office for quick codes and other instructions.
Hours Types Oracle Timecards • Dictates pay rate and, in some cases, approver • Employee will need to know which to choose • Assigning office must instruct employee
Entry: Account Codes Oracle Timecards • Use QuickCode (CCID) codes, not 33-digit codes • Assigning office must supply
Entry: Comments (Line Level) Oracle Timecards • For Grants Types, enter the nature of work • For Classified Subs and Differential-Other, enter the APS ID# of the absent employee being covered • For long-term classified subs, enter the range code
Hours Types: Additional Hours Oracle Timecards Additional Hours • Regular duties, regular pay, different budget code • Available for contract employees only • Included in overtime calculation • Account code is required • Approved by budget authority of account code charged
Hours Types: Appendix C Oracle Timecards Appendix C • Work performed according to Appendix C of the Master Agreement • Contracted rate of pay • Licensed staff will NOT report through Oracle • Account code must be left blank • HR must set up Appendix C information (Appendix C 1, 2 or 3) before you can choose it • Only available for contracted employees • Approved by employee’s supervisor • Overtime eligible
Hours Types: Classified Sub Oracle Timecards Classified Sub • Used for all Subs other than Nutrition Services and Custodians • Rate of pay will drive off of range of absent employee • Comment field (inline) must be the ID of absent employee • Account field must be filled in. Approver will be the budget authority for that account. • Daily entry recommended for subs who change sites frequently • Sites should keep substitute log which includes: • Information about absent employee (name, ID) • Substitute name and absence date • Account code to be charged
Hours Types: Extra Help Oracle Timecards Extra Help • Classified subs for vacant positions (long-term sub) • Account field must be filled in. Approver will be the budget authority for that account. • Inline comment field will be a code which corresponds to a rate of pay and will be required.
Hours Types: Extra Duty Pay Oracle Timecards Extra Duty Pay • All employees are eligible • Only Classified employees and subs will use Oracle • District-determined rate (currently $15/hour) • Account field must be filled in. Approved by Budget Authority for that account code • Might or might not be eligible for Overtime • Use “Extra Duty-Flat Hourly Rate” if ALL of these conditions apply: • Voluntary • Duties are different from your contracted position • Duties are “Occasional and sporadic” • Examples: Stadium work, school plays, chaperone • Otherwise, use “Extra Duty-OT Eligible”
Hours Types: Grants Oracle Timecards Grants • Routed to building supervisor for approval • Acct field must be filled in with a valid Grant code. Any non-Grant code will error out. E-mail grants office for appropriate codes. • Inline comments field is mandatory and will print on Grants Department reports (Enter nature of work) • Different rates for different Hours Types: • Grants Additional Hours (employee’s contract rate, grants budget) • Grants Translator
Hours Types: Agreement for Services Oracle Timecards Agreement for Services • Based on Agreement approved by HR Department • Pay rate, account code and supervisor are in Oracle • Account code must be blank • Eligibility for OT determined by agreement • Available for contract employees as supplement to contract • Available for non-contract employees • Any work for a pay rate which is not on District pay schedule should be done as Agreement for Services • Agreement (1, 2 or 3) must exist to choose this Hours Type • Routed to Agreement Supervisor for approval
Hours Types: Non-Contract Oracle Timecards Non-Contract (all Hours Types not previously mentioned) • Rate is pre-determined inside Oracle • Account field must be filled in. Approved by Budget Authority for that account code • Eligible for overtime • Rates of pay that exist in district policy • custodial, nutrition subs • student helpers • lifeguards • summer grounds crew • etc.
Hours Types: Differential Pay Oracle Timecards Differential Pay (during regular duty day) • Compensation for duties above regular contract during duty day • Time is recorded in addition to regular hours • 3 hours of Differential time would appear on timecard as 8 Contract hours AND 3 Differential hours • Account field must be filled in. Approved by Budget Authority for that account code • Differential-Class Coverage • Daily rate for qualified classified staff covering classroom duties • Employee doing work must be pre-approved by substitute office • Differential-Cook Manager • Hourly rate for kitchen staff covering cook manager duties • Differential-Snow Removal
Hours Types: Differential Pay Oracle Timecards Differential Pay • Differential-Other • Difference for increased range • Comment field must be ID of covered employee • Differential-Translator • Pays difference between translator rate and employee’s contracted rate • Only available to employees who have passed the district assessment
Translating Oracle Timecards • Can only be used by district-approved translators • For work outside of the duty day • (Translating/interpreting inside of the duty day is part of all job descriptions and is not compensated beyond the employee’s regular pay) • Must enter quick code in the Acct column
