Grants and Program-Related Investments to OrganizationsBefore a request is made for a grant or program-related investment, a brief letter of inquiry is advisable to determine whether the foundation’s present interests and funds permit consideration of the request. • The letter should include: • The purpose of the project for which funds are being requested • Problems and issues the proposed project will address • Information about the organization conducting the project • Estimated overall budget for the project • Period of time for which funds are requested • Qualifications of those who will be engaged in the project

  3. Formal Proposal • After receiving the letter, foundation staff members may ask the grant seeker to submit a formal proposal. There is no grant application form. The proposal should include: • The organization’s current budget • A description of the proposed work and how it will be conducted • The names and curricula vitae of those engaged in the project • A detailed project budget • Present means of support and status of applications to other funding sources • Legal and tax status • In some instances, the foundation requires the grantee organization to match the foundation’s grant with funds from other sources.

  4. Formal Proposal • The foundation supports pluralism and equal opportunity in its grant making and in its internal policies. The opportunities that prospective grantee organizations provide for women and other disadvantaged groups are considered in evaluating proposals.Applications are considered throughout the year. Normally applicants may expect to receive within six weeks an indication of whether their proposals are within the foundation’s program interests and budget limitations.

  5. Formal Proposal • If the proposal is being considered for a grant, the approval process is generally completed within three months. Activities supported by grants and program-related investments must be charitable, educational or scientific, as defined under the appropriate provisions of the U.S. Internal Revenue Code and Treasury Regulations. The foundation monitors grants through regular financial and narrative reports submitted by the grantee.The foundation’s funds are limited in relation to the great number of worthwhile proposals received. For example, in 2004 the foundation received about 41,000 grant requests and made 2,091 grants.

  6. Formal Proposal • The foundation directs its support to activities that are within its current interests and are likely to have wide effect. Support is not normally given for routine operating costs of institutions or for religious activities. Except in rare cases, funding is not available for the construction or maintenance of buildings.

November 9, 2005 Secretary The Ford Foundation 320 East 43 Street New York, N.Y. 10017 Dear Secretary, The Boys and Girls Club of the Tennessee Valley mission is to “inspire and enable those from disadvantage circumstances, to realize their full potential as productive, responsible and caring citizens.” Our club is the largest youth serving organization of its kind in the countries and communities in which it has a presence. These areas include Know, Blount, Scott, and Loudon Counties. Yearly, more than 7, 844 youth take advantage of the services we provide. However, we are at a disadvantage because of budget restraints. We are experiencing rapid growth and we are not able to keep up with this growth with our fundraising and membership fees. It is our goal to establish our boys and club as a regional service center, be recognized as leader among service agencies in East Tennessee and become the most effective youth development organization in its program delivery. We believe that if we can alert the surrounding communities of our services and the need for donor contributions, we could help more children who so desperately need guidance and support in their young lives. We are aware that the Ford Foundation “supports the development of media, information and technology resources to advance human achievement and understanding.” Therefore, we are requesting a Media, Arts and Culture grant in the amount of $108,580.00. The grant will be used to produce a one hour documentary highlighting the history, services, and future plans of the Boys and Girls Club of the Tennessee Valley. The documentary will be used to bring awareness to the organization thereby garnering more donor support for its programming. The documentary will take approximately three months to shoot, edit, and narrate. We have on our staff Janice Reaves, a seasoned television producer/director with more than 16 years of experience and Tammie Gentry a youth advocate for more than 12 years. We have also enlisted the services of NFL star Tim Irwin who has agreed to work with us on this project. Irwin is a former member of the boys and girls club and will add credibility to the documentary. Tennessee Public Broadcast, (TPB) has also agreed to shoot and edit the documentary for us. TPB has a well trained, qualified staff of television production personnel who will also work on the documentary. We look forward to hearing from you soon.   9. Description of Proposed Work The television documentary of the Boys and Girls Club of the Tennessee Valley will take approximately three months to produce. The work will begin with production meetings between Tammie Gentry and Janice Reaves of the boys and girls club and Elaine Tomber, Development Manager with East Tennessee Public Television After the project has been conceptualized, the director and script writer of the show will be brought in on meetings to determine a time-line of events, rundown of interviews and site location of the shoots. Tammie Gentry and Janice Reaves will serve as co-Executive Producers of the documentary. Editing will consist of 10-15 days of shooting Interviews will be conducted with the following people: John D. Lee President/CEO, BGCTV Lisa Hurst Executive Vice President, BGCTV Ernie Brooks Vice President of Volunteer Services, BGCTV Members of the club (this could include elementary, middle and high school students) Lou Holtz One of college football's most legendary coaches Alumni of the Boys and Girls Club Bill Cosby Alex Rodriguez. Brad Pitt Michael Jordan President Clinton Jackie Joyner-Kersee Martin Sheen Derek Jeter Neil Diamond Denzel Washington. A production calendar will be devised and strictly followed to ensure that shoot wraps before January 1, 2006. Shooting Schedule will consist of 10-15 days of shooting
