Purpose / Mission • Aside from the player / team base which you draw from, the major difference between a league tournament and a club tournament, is that with a club tournament, you are interacting with the Ultimate community at large. • Your event is a reflection of your local Ultimate scene, and will be tied very strongly to how the community views your organization and administration.
Preparation • 6 – 12 months in advance. • Secure fields as soon as possible. • Coordinate dates with other regional organizations. • Post your event on UPA.org ASAP! • Corporate sponsors typically need 3-8 month lead time to approve major donations. • Contact media with an early press release when possible, and then again closer to the event.
Budgeting • Determine your budget before you begin to market your event. • Be sure to include money for an emergency fund. • Established communities should use the event as a fundraiser. There is nothing wrong with making a profit for your hard work!
Amenities • Amenities, the extra’s your tournament provides for the players, are one of the main things people will remember. • The more you can provide, the more positive experience your players will have. • It’s better to provide a few top notch amenities, than a bunch of sub-par ones.

Socially Conscious Spending • Using your dollar to support the Ultimate and local economy. • Support companies who treat their workers well and have good environmental track records.

Media & Documentation • Use your event to help build awareness of your organization and the sport in the local community • TV • Radio • Newspapers • Film • Photographs • DVD Compilation
Volunteers • Utilize local non-competitive league players, juniors teams, players’ friends and family to work as volunteers. • Volunteers should receive all the amenities of the players – shirt, disc, food, etc. • A volunteer only dinner following the conclusion of the event is a great way to ensure volunteers the following year.
