Good media/public relations is not just reactive in times of crisis, it is proactive when things are going well. The best approach is to be S.M.A.R.T. The S.M.A.R.T. approach
START the conversation. Maintain your MESSAGE. AVOID negativity. Be READY to talk when you talk! Always be TRUTHFUL. Be S.M.A.R.T.
Foster great relationships with those who cover you in the press. (Real examples.) • Be involved in your own press releases. (Contribute to your press releases and make some of the follow up calls yourself! Using a PR firm is not an excuse to not build relationships in the media) • Have a “go to” list of people in the media whom you have built a relationship with and trust to help tell your story. Start the Conversation
You must have a message and maintain (update) it as required. • If you speak to the press, you must know the message. (What are the key things you always need to say if someone suddenly sticks a camera or microphone in front of you, regardless of the topic or scenario?) • Have your “elevator speech” ready. Think in terms of sound bites! Maintain your message
Though a topic can be negative, your response should never be negative. • Do not create your own negative press! (Real examples) • Remember Mom! If you cannot find a ray of sunshine or glimmer of hope on a topic…do not say anything. • Example: Expressing condolences. Example: “We sincerely appreciate the expressions of sympathy and support we have received from so many in the Kansas City and NFL communities, and ask for continued prayers for the loved ones of those impacted.“--- Kansas City Chiefs regarding JevonBelcher murder-suicide. Avoid negativity As your Message
Never talk until you are prepared to talk. • Talk only about what you know. • Take your time. “We will issue a statement later”, “No comment at this time”, “we are investigating the matter”, etc. • If the issue requires, seek counsel from others. (Examples: board, committee, Chairperson, President/CEO, attorney, PR person.) • Organizational responses should be uniform and coordinated and you should watch out for conflicts of interest. • Avoid legal risks. (Examples: privacy/ confidentiality, HIPAA, compromising a criminal investigation, slander, etc.) Be Ready
A lie can travel half way around the world while the truth is putting its shoes on.---Mark Twain • With the internet and social media, a lie now travels much faster and it is preserved for the ages. • To someone watching a 60 second news story or reading a newspaper story, a mis-statement of fact is, for all practical purposes, a lie. • As a non-profit or charitable organization, the generosity and trust of others is your lifeblood. • Truth is your greatest asset. • Whatever the storm, the truth will set you free. Always Be truthful!
