RESPONSIBILITIES OF CONVENTION DELEGATES / OUTCOMES / SUGGESTIONS FOR 2019 • Confirm attendance and shirt size • Generally good response from selected delegates • Suggest convention organizer contact selected delegates and submit paperwork to headquarters in conjunction with chair. Organizer should also have the list of delegates/ordered shirt sizes for meet and greet. • Submit time off requests • There were a few questions that I was able to help with. No major issues. • Transportation – Pre-convention meeting directed delegates to cancel their bus transportation. • A number of questions were asked and the chair advised that cancelling the bus transport was not required. • Transportation requirements need to be discussed and confirmed prior to 2019 pre-convention email being sent out. • Accommodations – delegates to check-in at Westin prior to 1700. • Most delegates were able to check in with no issues, however, multiple delegates were charged the cost of the room at check-out. This is an issue with the hotel and we will try to make sure this does not happen again in the future.

Parking – delegates were directed not to pay for parking but to have it charged to their room. • No complaints of delegates being charged separately for parking this year • Need to remind delegates that only one vehicle is to be billed to each hotel room. • 1700 Meet and greet in hospitality suite • No major issues. Majority of attendees arrived on time. • Suggest organizer gather all attendees cell phone numbers and room numbers. Would a Facebook convention attendees page be helpful for communications? • 1930 Group dinner – all attendees gathered for dinner at Sorrentino's. • There were no issues with arriving to restaurant on time, however, the length of time required to order and eat was lengthy. • Suggestions for 2019 – Send restaurant menu prior to arriving. Pre-order appetizers. Try a new dinner location as there are multiple locations around the Westin that can accommodate 22 people such as Craft Beer Market, Sherlock Holmes Pub, State & Main, and Revel Bistro & Bar. • Caucus meetings – Delegates met in the morning to discuss proceedings for the day. • Generally, attendance was good. • Suggest possibly changing the meeting time for next year to a meeting during breakfast, or meeting at the end of the day. • Hoodie/T-shirt sales • Suggest having an electronic payment option for 2019.
