  3. WELCOME! Welcome to James Madison University’s IT Training Department and the online assessment tutorial for Time Entry. The following interactive presentation will take you step by step through the data entry process and prepare you for the assessment. • After completing this tutorial you will be able to: • Access the JMU IS Applications page • Enter bi-weekly hours for wage employees. • Edit and print time entry sheets. Please click the purple arrow in the bottom right corner to begin the training.

  4. How to navigate this tutorial This is a self guided learning tutorial. You will work at your own pace and be able to move back and forth between the pages and return to the main menu at any time. This will give you a definition Clicking on the information icon will display a brief definition of the item. Go ahead – try it! Click again to remove the box. Click the home icon to access the navigational menu. Click right or left arrow to go to next or previous screen To advance to the next slide, click the arrow in the bottom right corner.

Overview JMU Time Entry requires departmental staff to enter payroll data for wage and student employees in the Human Resources Management System (HRMS).  Training is required for employees who serve as enterers only and employees who serve as enterers and approvers.   7. Roles Entry Only The Entry Only role consists of enterers who enter hours (regular and overtime) that each wage and/or student employee works within the department. Entry and Approval The Entry and Approval role enables employees to enter the data and approve the hours for the wage and/or student employees.

  8. Necessary Approval Forms Onlyemployees listed on the IIS Access Form, Signature Authorization Form and have completed the training will have access to the Time Entry pages. IIS Access Control Form Signature Authority Form

  9. Policies and Procedures Approve Data Both the Time Entry and Exceptions pages must be approved for each time period. If you are an enterer only, remind your departmental approver to approve the Time Entry and Exceptions (if applicable) pages by Noon on the Time Entry End Date. If you are an enterer and approver, approve the Time Entry and Exceptions (if applicable) pages by Noon on the Time Entry End Date. An hourly employee cannot be an approver for the department where he or she gets paid. That employee can enter data for the department, but cannot approve it.

  10. View Payroll Data JMU Payroll Services will email you the dates for time entry availability each current pay period. Sample Payroll Email: From: Chris Jones [mailto:jones5cm@jmu.edu] Sent: Friday, September 29, 2006 8:11 AMTo: PSOFT-TIME-ENTRY-L@LISTSERV.JMU.EDUSubject: Timesheet Availability The timesheets for the pay period 9/16/08 – 9/30/08 are now available. The deadline for time entry is Tuesday, 10/03/08 at noon. Please let me know if you have questions or concerns. Thanks, Chris Jones Payroll Services 8-6233 The Time Entry and Exception pages will become VIEW ONLY after the Time Entry End Date (i.e., payroll due date) has been reached. You can see these pages until JMU Payroll Services has created the timesheets for the next pay period.

  12. Accessing the Human Resource Management System Payroll Account • Open your browser (Internet Explorer works best). • Go to the JMU Faculty/Staff Gateway: http://www.jmu.edu/jmuweb/fs. • Click IS Applications link at the left.
