  2. Why have a press event? • Big Event • Award presentation • Grand Opening • Important Announcement • New Program or Initiative • Celebration • Energy Fair

  3. What to Include • Start out with a good description • Who, What, Where, When • Keeps everyone on same page • Important people/key leaders – the bigger the better! • Plan for a photo opportunity • Ribbon cutting, proclamation signing • Include multiple partners if appropriate • Businesses can provide the “goodies”

  4. Planning and Preparation“The Count Down” • Use a checklist – See handout • Speakers • Talking points • Invitation and Invitees • Supporting materials • Agenda • Visit the site • Podium, microphone, easels for displays, tent • Posters, banners • Arrange for photos

  5. Don’t Forget the Media • Media Advisory • Send out 1 or 2 days before • Call the media – entice them!!!!! • Press Packets • Watch for press to arrive and provide “red carpet” treatment • Have extras to give speakers/dignitaries • Press Release • Issue immediately following the event

  6. Dos and Don’ts • Master of Ceremonies – keeps agenda on track • Prepare speakers • Provide speaking points to all • Prevents repetition and/or omission • Call the media … CALL the MEDIA • Be flexible, anticipate situations, be ready to adapt

  7. Horror or Success? • Governor Lynch on top of Pack Monadonack Mtn • Celebration of upgrade to Air Monitoring Station • Drenching rain, thick fog • One reporter at event, numerous articles • Lots of spectators, including NH legislators

Horror or Success? • School Bus Idling Recognition Ceremony (2003) • EPA Administrator Whitman, NH Governor, & local Mayor • Venue wasn’t finalized till day before (weather) – involved assembly at middle school • 1st speaker went on and on • Got great press coverage! • An excellent educational opportunity!

  9. Horror or Success? • Governor Lynch and other NH leaders announce first state biodiesel fueling site at state university • Multiple parties involved –coordination was challenging • Hottest day of the summer • Turn out was excellent • Good press coverage

  10. More than a Press Event • Make your event more than just a press event – Make it an Educational Opportunity • Invite any and all interested parties • The more the merrier • Follow up with newsletter articles • Put the event on your website
