Sabbatical Leave • Purpose: Sabbatical Leaves are designed to provide the employee with the opportunity to participate in intensive activities designed to expand the employee’s existing skills or to provide new skills. • Sabbatical Leave funds are to be used to support the employment of a replacement of an employee during the employee’s absence. • Sabbatical funds are not to be used for the cost of educational expenses such as travel, registration, tuition, books or supplies (14.3 section of the MAT policy manual).

  3. Sabbatical Leave Q’s & A’s When can I take a sabbatical? After 4 years of your board approved date you are eligible for 4 months (5yrs and 6yrs you are eligible for 5 months and 6 months respectively).

  4. Sabbatical Leave Q’s & A’s Is it just for time off or do I have to do something school related? You must be working on something that is worthy of a sabbatical, such as a dissertation, internship, technology training, or completing a degree. It is NOT limited to education, but you must demonstrate personal benefit and what the benefit is to MCCCD. You are accountable for full time hours toward your proposed goal.

  5. Sabbatical Leave Q’s & A’s How much of your salary is paid during that time off? You receive 100% of your base salary. You continue to receive your health benefits. District will continue to take out Soc. Sec. and retirement.

  6. Sabbatical Leave Q’s & A’s Do I owe time to the college if I am approved for a sabbatical leave and take it? If you take a 6 month sabbatical you must return to the district and work one year to repay the promissory note. Sec 14.4.4 “The recipient will be required to sign a note for the Sabbatical leave salary. This note will be forgiven at the rate of one-half (1/2) year for each year of District service or like proportions for lesser periods of leave following the leave.” Sec 14.9.1

  7. Sabbatical Leave Q’s & A’s Who decides if I get one and who approves it? The Sabbatical Committee reviews the applications and scores them based on a rubric (on the application). You must get an average score of 75 points to be eligible. Depending on funds available, the person with the highest score is awarded first, and so on, until funds are exhausted.

  8. Sabbatical Leave Q’s & A’s How is my replacement cost determined? In your application you indicate replacement cost. Work with your supervisor to decide how this will be accomplished. If you request $8,000 for replacement we will cap your allocation to that amount plus statutory benefits. If you ask for the full amount you are eligible (your grade at step 1) we may not have the funding available and you could be denied if your score is low. Be as honest as possible. Develop a replacement plan with your supervisor.

  9. Sabbatical Leave Q’s & A’s What happens to my position while I’m gone? Sec 14.8 Time spent on Sabbatical leave will be considered as regular service, but will not count toward time and service should the individual apply for an additional Sabbatical leave. An employee returning to the District following a Sabbatical Leave will return either to the same position or to one of equal or greater rank or to a position agreed to prior to the leave.

Sabbatical Leave Q’s & A’s What is my accountability while I am on sabbatical? • Employees granted sabbatical leave will submit a progress report to the Sabbatical Chair midway through their leave. • A final report is required at the end of the sabbatical leave. • Be sure to read the MAT Sabbatical Committee Best Practices & Guidelines

Sabbatical Leave • Eligibility:Employee must qualify under 1.2 section of the MAT policy manual as a Governing Board approved full-time or part-time employee, grades 13-21, and whose salary is more than 50% paid from Current Unrestricted Fund 1 or Current Auxiliary Fund 2 to be considered for a sabbatical. • To be eligible for a leave of one to four months, the employee must have worked for the District a minimum of four consecutive years. Five and six month sabbaticals require five and six consecutive years, respectively. See section 14.4 of the MAT policy manual.

  12. Sabbatical Leave Sabbatical Periods and Deadlines • July 1st – December 31st Applications are due by 5:00 pm the previous March 1st • January 1st – June 30th Applications are due by 5:00 pm the previous September 1st • Plan in advance

  13. Sabbatical Leave • Evaluation: Write a narrative proposal that clearly describes the activity. Sabbatical applications that meet the eligibility and deadline requirements will be evaluated based on the clarity and completeness of the application in addressing the items listed under each of the five categories: Purpose, Execution, Results, Cost, and Documentation. (see rubric). • A minimum average score of 75 points is required to be eligible for consideration.

Sabbatical Leave • Please fax your application to 480-377-4898 • Send the original application with appropriate signatures and supporting documentation to the MAT Sabbatical Chair. • Sabbatical applications should be limited to seven pages, including the two page application, plus attachments.

  15. Sabbatical Leave • Sabbatical funds are used as replacement dollars only.  • Funds are transferred after a replacement(s) has been hired and paperwork has been processed • Unused funds remain in the MAT Professional Growth account. • It is the responsibility of the college/district to initiate the transfer of funds within one month by contacting the Sabbatical Chair with the name of the applicant’s replacement and the account number in which to transfer funds.
