Functional Overview: Sourcing / Content Library Sourcing/Content Library – Basic View: The folder structure and documents to be included will be configured per the guidance from the Design team and State Purchasing leadership Sourcing/Content Library – Document View: The system displays an overview of the document such as status, version and when it was created. Where possible, document descriptions should be included.
Functional Overview: Sourcing / Content Library Key Functionality:The Sourcing and Content Library is a document repository and management functionality that users can use to select documents or content to include in projects and events. Documents that are used frequently by State Purchasing should be uploaded to the Sourcing Library. This will help ensure standardization and version control. Team members are assigned to manage these documents. Documents contained within the library can be standard operational documents (e.g. MS Office docs, pdfs, etc.). • Key Features: • Standardizes the documents available to users creating projects and events (e.g., legal documents, standard forms) • If terms change that impact a particular document(s), the person designated to manage this document can upload a new version of the document and users will automatically have access to the new version • The team member managing the library can use a function called “Announce the creation of this new document,” which will add an announcement to the dashboard of all sourcing library team members who have the Sourcing Library marked as a “Watched Project” • How will this impact State Purchasing? • Provides an easy way to manage the storage and announcement of current, approved documents for use • Reduces risk of using outdated documents • Assigns responsibilities for specific users to manage content
