It is suggested that Schools use: • Presentations by former Erasmus Students • Presentations by incoming Erasmus Student • Presentations by Erasmus Tutors • Note: Erasmus Institutional Coordinator will attend on request. Information on Partners and the Process for Students is available on the Erasmus Web Page. Please add a link to this from your School Web page (see Page 3). Publicity Leaflets, Postcards & Posters will be distributed to Schools in September. • Erasmus Institutional Coordinator (EIC) • Academic role – Erasmus Tutor (ET) Placements Administration Programme Administration Student Expresses an interest in undertaking either a Study or Training Placement in Europe EU Host Enterprise or University • Erasmus Tutor (ET) checks that a placement is appropriate for the student concerned and gives students information on the possible hosts for placement and directs students to relevant web pages.ET keeps Placements Admin and Programme Admin informed of Students decision. Placements Administration Programme Administration • Erasmus Tutor (ET) contacts Partner Enterprise or University to discuss students placement Student makes a decision to undertake an Erasmus Study or Training Placement and applies to Host • Erasmus Tutor helps Student with Application procedure and agrees to the Students chosen Placement (for Study Placement students chosen Modules) as being appropriate for student programme of study. • A Provisional Learning or Training Agreement must be in place before a student travels. • Placements Administration informs SID! & creates a To Whom it may concern letter for students use with Student Finance etc EU Host Enterprise or University Accept Students Application and agree Placement Dates Student passes 1st Year and if it can be confirmed that student is not on the list of debtors. OutgoingERASMUS Grant students Administration Process ERASMUS OUTGOING STUDENT • WITHIN 7 DAYS • Erasmus Institutional Coordinator (EIC) Sends Grant Approval email and a series of emails regarding Health / Language Training, reminders to Register • Reminders to use the Erasmus Document Check List • WITHIN 1 DAY • Student gives grant application form and provisional Learning / Training Agreement to Erasmus Tutor (ET) to Check and sign. Students fill out Application Form online Deadlines FY-SM1 Apps- 30 May SM2 /SM3 Apps- 1 Dec ErasmusInstitutional Coordinator (EIC) Academic role – Erasmus Tutor (ET) Placements Administration (PA) WITHIN 7 DAYS Application forms are received by School Erasmus Tutors, fully checked, signed and returned to student. ET helps student complete a Learning or Training Agreement and signs it for student to take on placement • Student Register with the University of Salford Data goes to Erasmus Institutional Coordinator (EIC) via automated system • Placements Administration confirms students Registration and sends email to Erasmus@salford.ac.uk Plus informs Student Information Directorate • Student Starts Placement • Sends fully signed Learning / Training Agreement to Erasmus@salford.ac.uk • EICChecks for Study Placements that we have a Bilateral Agreement with the University applied for under the subject code. An automatic email confirming receipt of on-line form is sent to student, with request for fully signed application form • WITHIN 7 DAYS • Student get application form signed and sends via email attachment to Erasmus@salford.ac.uk • EIC Checks Agreement , arranges payment of 1st grant & Sends email to Student • Student confirms receipt of grant payment by email to Erasmus@salford.ac.uk • EIC receives students fully signed application form • WITHIN 7 DAYS • Erasmus Institutional Coordinator (EIC) Checks application form has been fully signed and completed Erasmus Tutor and / or Placement Administrator Keep in Contact with Student throughout the placement Placements Administration Student andET or PA keeps EIC informed of any changes to placement dates , drop outs etc via email to Erasmus@salford.ac.uk • Erasmus Institutional Coordinator has to submit and Interim Report in January and a Final Report in July on Erasmus Mobility to the European Commission via UK National Agency • Rejected • Accepted • With in 1 month of the end of placement Student must return all required documents • Erasmus Document Check List • Certificate of Attendance • Training (Work) Placement Report or Study Placement Report • Student Transcript - Training (Work) Placement's Employer Evaluation • Or Student Transcript - Study Placement • Upon receipt of all required documents Erasmus Institutional Coordinator pays student the Final Erasmus Grant and sends email confirmation • & encourages student to take part in the • Erasmus Competition WITHIN 7 DAYS EIC sends Erasmus Contract Email to Student WITHIN 7 DAYS EIC sends email to student with reason for rejection IE: Not European exchange / Not partner institution / incomplete application WITHIN 7 DAYS Student sends email agreeing to Erasmus Contract Student emails confirmation of receipt of grant to to Erasmus@salford.ac.uk College / School / Erasmus Tutor /Placement Administrator Should encourage returning & incoming Erasmus Students to help advertise Erasmus opportunities to students • Student Agrees to Erasmus Contract.
