Initially only one menu option will be available. The menu options will change as the employer interacts with the system Employers are required to update their contact details. This will ensure that all correct correspondence will reach employers
The correct form list will be displayed according to your selection. It will also display the status of each of the sections that needs to be completed. These sections does not need to be completed in sequence and does not need to be completed at the same time.
A typical example of the different forms that needs to be completed. Calendars will be provided to assist with capturing
The form is completed as indicated. The system has numerous internal validation checks to ensure that data is captured correctly. i.e. Only numerical data will be accepted
` Another example of validations is the cross referencing of sections to ensure data integrity. Certain values will be cross-checked with previously answered sections. Totals will be calculated as the information is captured by the user. This will assist the user in verifying figures.
The system will display a validation error to assist the capturer with completing the correct information. By enforcing strict business rules the DoL ensures that no queries (additional / outstanding information) will be raised against an employer.
Once a section has been completed correctly, the status will change to “complete”. All sections must be completed before DoL will accept the EE forms. This can be done over several days and does not need to be done in order.
Only monetary values will be accepted. The capturing process can be aborted by clicking on “Cancel”. No information on that screen will be saved.
The employer will send his report to the Department once all the sections have been completed. A section can be changed / updated at any stage until the employer has indicated that he has completed the capturing process. This is done by clicking on the “Send EE Report” link. The employer is required to indicate to the DoL that he / she has completed all the sections and is now ready for the DoL to receive the information by clicking on the “Send EE Report” link.
The system will prompt the user to verify his decision to send his report to the DoL since he will not be able to change / update his information once the report is sent. An additional question will be asked before this one which will read:” Has the CEO read, approved and authorised this report” to ensure that the CEO is aware of and accountable for the EE Report.
The menu options will change once the employer has confirmed his decision. The employer can now only Print his Report or View his report information that was sent to the DoL.
The employer can now print the proof of submission of his report
An electronic form will be generated which can be printed out. A Reference number is inserted on the form. This reference number is unique per employer and will remain the same for each reporting period.
