  3. Annual Dropouts • Summer Dropouts • Students that finish one school year and fail to return for the next school year by Oct 1st • Term Dropouts • Students that stop attending school during the school year and fail to return to school before Oct 1st

  4. Summer Dropouts • EOY SRC 2009-2010 • Active record, non-graduate • Fall SRC 2010-2011 • No active/inactive records from any LEA • N records with a W0xx, W4xx, W8xx, or W9xx Exit Code

  5. Summer Dropouts – continued • EOY SRC 2010-2011 • No active/inactive records from any LEA • Entry Date prior to Oct 1st • No N records with a W3xx, W5xx, W6xx, or W7xx Exit Code • Exit/Withdrawal Code prior to Oct 1st • This student is a DROPOUT for 2010-2011

  6. Summer Dropouts • EOY SRC 2009-2010 • Active record, non-graduate • Fall SRC 2010-2011 • Active/inactive record from any LEA • N record with a W3xx, W5xx, W6xx, or W7xx • This student is NOT a DROPOUT

  8. Term Dropout • EOY SRC 2010-2011 • Inactive record with a W8xx Exit Code • Fall SRC 2011-2012 • No active/inactive records from any LEA • N records with a W0xx, W4xx, W8xx, or W9xx Exit Code • This student is a DROPOUT for 2010-11

  9. 2010-2011 Event Dropout Rate– Data Requirements • 2009-2010 EOY SRC • Active Students and LTAs • 2010-2011 Fall SRC • Summer Dropouts • 2010-2011 EOY SRC • Summer Dropouts, LTA returners • Pool of W8s • 2011-2012 Fall SRC • Term Dropout returners

Cohort Data • Cohort is assigned the first time a student enters 9th grade anywhere in a Virginia public school • Data is continuously updated in the Cohort table until a diploma is earned • If a Certificate or GED is earned, it can only be updated with a diploma • If a student with an IEP or in an LEP program is ACTIVE on the last day of school of the 12th grade year, the student is moved into the next cohort → “slider”

Building a Longitudinal Data Set Graduation Completion Index SRC Table Raw SRC data - multiple records for every STI Each blue summary table includes data for the subgroups and an “as of date” Federal Graduation Indicator Virginia On-Time Grad Rate & Cohort Dropout Rate FGI & OGR cohorts are assigned during this process Cohort Snapshot Table A snapshot of the Cohort Table on a particular day “the movie poster” Cohort Table One record for each STI displaying the latest information on the student The snapshot “date” is the day before the first day of school (created after all EOY and Summer SRC data are verified but before the next FALL SRC) “the movie”

  12. Cohort Data – continued • Dropouts include any student whose latest status is “Dropout” • Dropouts include any student whose latest status is “Unconfirmed” • Transferred to another LEA but is assigned a new STI • Reported transferred to another LEA but discontinued public schooling instead

  13. 2011 Cohort Dropout Rate– Data Requirements • Fall, Spring, EOY SRC 2007-2008 • First-Time Ninth Graders • Active/Inactive records • All records between • Fall SRC 2007-2008 through • Summer SRC 2010-2011 • Last record has a W0xx, W1xx, W2xx, W4xx, or W8xx Exit Code

  14. Scenario #1 • Sally is part of the 2011 OGR Cohort. She dropped out of school in May of 2009. In February 2011, she returned to school and earned a GED in June of 2011. • On which reports is Sally a dropout? • 2008-2009 Annual Dropout • 2009-2010 Annual Dropout

  16. Scenario #3 • Ryan is part of the 2011 OGR Cohort. He dropped out of school in May of 2011 but returned on the first day of school in Sept eager to finish his classes for a standard diploma. • On which reports is Ryan a dropout? • 2011 Cohort Report

  17. Scenario #4 • Becky is part of the 2011 OGR Cohort. She dropped out of school in May of 2011 but returned on the first day of school in Sept eager to finish her classes for a standard diploma. By December, she stopped coming to school again and did not return.  • On which reports is Becky a dropout? • 2011 Cohort Report • 2011-2012 Annual Dropout Report

  18. Data Corrections • OGR Data Corrections • ONLY corrects Cohort data • Resubmitting EOY, Summer or FALL SRC • Corrects Annual Dropouts and Cohort data

  19. Data Corrections – continued • STI Merges • Corrects Annual Dropouts until the Final Dropout process is run • Corrects all Cohort data
