Welcome 1 3 2 Case and Program Rewrite Update Objectives An important architectural change
1 Objectives Review on new things: Goodies and Nuggets Search is now GLOBAL Changes to Security to Align with the Industry Presenting: Case > Program > Person / Get Feedback 5) Additional Announcements
Goodies and Nuggets: User Preference, Layouts & Docking Many displays will be defined by the User Preferences. You will have control over things like alert settings, layout of the position of the screen with our docking module so you can have more than just one screen up at one time. Or you CAN have just one screen open at one time just like you have today. All of this and more will be user customizable.
Search is now global. By that we mean available in one location for all searching. Each Search type returns a unique Search Result profile that can be used by the system. Global Search Searches initiate by the type of search you want. You then specify the criteria and the value to search by.
Search Demo Opening a person profile See Open Automatically or open with a new Results screen Tabs for Phone numbers, email, address New – Feature - Address quick entry inline, details entry if error there are errors and on demand mapping , and parsing - breaking a data block into smaller pieces such as House number, Street, Apartment Number, City, State or the like, postal code.
Why the changes in Security Groups and Permissions? • Changes to Security to Align with the Industry: • We are moving in the direction, with Security, to take the path of least access to client data as is needed. The whole focus of industries that must deal with customer privacy, particularly industries that deal with: • financial or • privacy • anything really that concerns records of their customers, is to restrict access to as small a group as possible. • It does change dynamics from an environment where everyone expects to get access to everything BUT, I.T. has had to move that way. • That’s why I.T. has • rotating passwords and makes them complex, • puts in Secure Socket Layers (SSL) certificates on websites, • has security audits, • locked server rooms, • non-shared passwords, and more.
Why the changes in Security Groups and Permissions? • A good analogy would be the environment of 15 years ago up to today with regards to Microsoft Windows. Microsoft’s whole philosophy was to give the users everything from a permissions standpoint – so much so, that in Windows 9x, if you didn’t know the password to get into the system you clicked “cancel” when prompted and you were let in. Microsoft has had to change so that now in Vista and Windows 7 there is user access control. Windows 7 is especially friendly to security settings being pushed out and maintained from the I.T. policies. The reason for all this is because the open door approach led to a whole host of malware and exploits. • Microsoft learned from previous releases. • So now their latest consumer and server products (Windows 7 and Server 2008) come very locked down right away. • Firewalls are on, • ports are locked down, • programs that if running could be attack vectors are not installed by default (example, Telnet, FTP)
Why the changes in Security Groups and Permissions? Needs to Know When it comes to accessing customer files, the general pattern is to move to a “needs to know” basis and that is the purpose of why we were segregating the security groups and (at least right now) only granting access to the group of the user that created it as well as the administration group (by default). Of course, from a usability standpoint, we need feedback – and there are many options we could explore regarding how to fit that “least access” to the needs of our customers. For example we could put a tree view to “grant all” in one click – or possibly allow the current user groups to be hosted inside another “group” so you could put a receptionist into multiple groups but keep financial counselors from seeing the records of the group that holds other types of counseling such a Social Service counseling (substance abuse, spousal abuse), etc. We need more discussion with the OAC and collect a consensus of what level we need to program for, and a few possible solutions that we can provide at the user interface level to make it easy but still secure to work with.
New Security Options We could add a “select all” check box, but we hesitate to simply put a blanket “ignore user group security” system flag. More discussion is needed! New Security Options: You still have the existing access groups: No Access, Read, Write, Create and Delete. To make Security a little stronger you will now be able to provide access or not to specific groups.
New Save Icon and Save state When a field has been changed, the Save Icon changes so you can easily see that something has changed. Once the screen has been saved, the icon appears as the normal Save Icon. If you try to close the screen or exit and you have not saved your changes, a message will automatically pop up so you can hit Yes to Save.
2 Case > Program > Person An important architectural change
think in terms of a CASE being a folder: DMP Case Demonstration
Open an New Case is like beginning in the existing Counseling Screen when you click on New Client
The Case ID can be created: • At the time of adding a program – it is not required to have a case to simply enter a person record into the database. This allows you to continue to download NFCC clients, receive DMS Web visitors, etc. without a case. However, once you begin to counsel the client you will need to create the case. At the time of the appointment from the appointment screen (which has not yet been created)
You can open a Case after adding the client, for example, if you download a number of clients from the NFCC download or Visitors from the DMS WEB. The Clients will be loaded into your database and they will not necessarily have a Case opened for them yet. This is when you can click on Add a Case and then Add an existing person.
Cases can Support many different Counseling Activities or Programs In the current Credit Counseling world, you might offer Programs like:Debt Management Programs NFMCP Default Mortgage HUD Housing First Time Homebuyer Workshop Reverse Mortgage Counseling Pre=filing Bankruptcy Counseling Representative Payee “Credit When Credit is Due” classesIn the Social or Community Services area, your Programs might be:Drug & Alcohol Safety Group Domestic Violence Counseling Individual Therapy Sessions Anger Management Group
Here is a sample timeline of how Programs might relate to a “Case”: Again think of a Case is a suite of programs that can contain the following all under one Case ID # (Remember to think of Case ID as you commonly do for Client ID today) for example Client ID 007: First - It began in April 2008 with a DMP Plan for an Applicant and Co- Applicant. In this DMP was James and Molly Bond. This included most of their creditors. Second - In 2009 both came in for a HUD Housing session and sought advise to refinance their mortgage. Third - In 2010 they came in for a Bankruptcy session.Important Note:All can be found under all the same search criteria’s as you have today: Last Name, First Name, SSN, Phone Number, Account Number Maiden Name, address, zip code, etc.
Points About Programs • Quick points • Cases can hold multiple programs each with their own “life”. • A case may hold many people, but all those people must be associated to a program or an appointment. • Cases contain a summary screen and each Program may contain its own unique summary screen. • Cases are maintained in Case Account Settings • Cases are gated to the security group of the creator of the case or administrators (by default). If the creator has security to do so, they may extend access permissions to other user groups. • Summaries and Audit Trail are “language aware”
Conceptual Case layout (Think of Case as an umbrella with the Client ID as the main Case Identifier)
3 Examples in:the DMS Solutions and the Rewrite
In DMS Solutions today: New Client - When the “New Client” icon is selected in the current version of DMS, a client record is created. This client record contains the Personal Information screen & key components for a DMP such as - Income, Budget, Debt and Payout screens.
In the Rewrite - “Add a Person ” replaces the “New Client” option. When the “Add a Person” option is selected, a client record containing the Personal Information screen and Audit Trail is created.
In DMS Solutions today - Personal Information The clients personal information screen is comprised of the Applicant Info, Co-applicant Info and Address tabs within the current version of DMS . The data from these screens is summarized in the Client Summary screen, which is the default tab when a client is accessed. The Miscellaneous, Verbal Authorization and Bankruptcy have not yet been incorporated into the rewrite.
In the Rewrite - Personal Information In the rewrite of DMS, each client has a separate personal information record that contains “person” specific information; eliminating the need for a Co-applicant tab. The client’s address information is stored within tabs located in the personal information screen.
Search Options In the current version of DMS after the “counseling” option is selected, client search criteria is enabled. In the Rewrite, a search type must be selected from the dropdown menu. After a search type is selected, criteria are enabled.
4 Rewrite Update Global enhancements to the framework
Framework • Closing the application recognizes forms that need to be saved or are in an error state and it stops. • Skins can be translated on the fly to another language. • Audit Trail tracks every change. Replaces much of auto notes. Will free up Client Notes to really be more of a Client Note going forward. Allows audit of every change and access by the system. • History Caching – undo/redo your session steps. • Chat available for internal instant messaging
DMS Solutions 5 • Client notes from DMS Solutions will be migrated for the next update. • After the “Pre-DMP” screens are done, we will be ready to create an • OAC test database for the OAC to review. • After completion of Pre-DMP screens and programs, we will begin work on the full DMP program (Creditor, Management pieces, Financials, Deposits).
