How we purchased MS in the past • Per device (computer) • MS Office, attempted to count: • # of staff • # of teachers • # of lab computers (30 at EM, 60 at MS, 90 at HS) • Office purchased when we were able to save enough money to upgrade to the latest version • We typically upgraded MS Office every 5-6 years • Computer Operating systems never upgraded • Whatever operating system that was purchased with the computer stayed on that computer for life

Problems with our approach • Legal compliance • Correct number purchased for what we are using • Keeping up with CALS becoming a nightmare • Updates to software came out more frequently than we could afford to purchase (Office 2000, 2003, 2007, 2010) • Caused us to fall behind from a technology perspective • Could never afford to upgrade operating systems on our computer systems

What changed? • In the past, we could not afford Microsoft’s “Campus Agreement” (basically a site license). • MS came out with the EES that is much more cost-effective. • 3 year contract; annual payment; essentially a site license that allows us to load the latest MS software on any system in Leon County Schools • Cost less than how we previously purchased using individual licenses

Advantages of the EES • Simplifies purchasing, tracking, and compliance (legal) of MS software • Allows us to take immediate advantage of latest versions of the software (MS Office, Windows operating systems--exp: Windows 7) • Allows us to take advantage of software/capabilities we previously unable to afford: • Lync (video/audio conferencing, Business Class Instant Messaging, Webex type capability, VoIP etc) • Windows Rights Management • Allows us to replace other applications (Altiris, Symantec) with integrated applications • The upgrade of teachers/staff/students allows us to fully implement Office 365 (web-based Office capability) • Faculty/Staff can purchase MS Office for home for less that $20

  7. Costs • ~220K per year versus ~$250K per year buying individual licenses of software • Funded via Capital Outlay

Conclusion • Recommend entering into a 3 year agreement with Microsoft • Purchase will spin off a number of different projects for the district over time: • Upgrade to MS Office 2010 • Implementation of MS Office 365 (web-based) for teachers/staff/students • Lync for video/audio conferences, IM, and eventually VoIP capability • Replace Altiris with SCCM and Symantec with Forefront Endpoint protection • Windows rights management; data governance
