(Blue Cross enrollment) • Email message? • Fax? • E-mail “Receipt Acknowledgement” (AOL or MS Exchange) • Acrobat Reader Form? • HTML Page with “Tags” to other pages? • HTML Page which gathers data for export into other computer applications? • Automatically generated bank statement?

  5. Gartner Group • The E-form is an automated and interactive template for capturing, processing, displaying and creating output from defined sets of business data. • Integrated E-form management (IEFM) is a system for creating and administering E-form applications while leveraging installed database, messaging, document management and workflow infrastructures.

  7. Enabling technologies appeared Habits changed But still, there are… Company processes; kept in notebooks; predominantly manual. Employees are now connected to one another Electronic distribution lowered the need for pre-printed forms - & - Forms that drive process interactions, but now they are electronic… People wanted electronic forms  Cut Sheet Forms Appeared Computer based presentation technologies advanced Evolution of Process… the arrival of the Electronic Form First, there were… Company processes; kept in notebooks; predominantly manual. - & - Forms that drove process interactions

  8. The Opportunity • The forms may have moved online, but the processes have not. • No one has been able to figure out a way to move the processes online as easily as they can build an electronic form. • Manual processes may be tough to monitor and enforce, however, companies do not need programmers to change them • The e-form costs may be lower, but the process is still expensive • Filling out a form still costs companies between $30 and $150 per instance • While the forms market is still $22 billion annually, the amount spent by business on process is over $360 billion per year. • The economics are bigger… • Instead of thinking about $ 0.01 - $0.05 per instance of a process, think about $1 or $10 per instance of a process…

  9. Adobe • In production for 2 years • Used daily by 3,000 worldwide employees • 20 processes with over 30,000 monthly routings • “Saves over $600k per year on one process…” • Project/Purchasing Employee Lifecycle Solutions Company-wide process automation Who is using this approach to electronic forms for their business? • 14,000 employee, $5 B per year company • Complex New Customer Setup solution • Contains 18 separate forms • Will touch 3,000 employees in multiple departments, including the president of the company Deep, complex application

  10. Building an eForm Process is Just Like Building a Form • Forms and Systems Analysts use the same methodologies to design forms or to move the process online… The form is the process Inputs are validated to remove the chance of errors Free-form fields are replaced by pre-populated pull downs Calculations are completed automatically Can add help and information - PURCHASING - Approval cycle is driven by form inputs - ACOUNTING - - FULLFILMENT - - WHAREHOUSE -

  13. Sample Solutions

  14. What companies are competing for this business? • Electronic Forms Market • Accelio (Acquired by Adobe Systems) • Cardiff • Enterprise Application Integrators • Vitria • TIBCO • Large Software Vendors • Microsoft • Adobe • Enterprise Resource Planning Systems • SAP • Peoplesoft • Siebel • Lawson Software • JD Edwards

  15. Document Management/Suite Vendors • OpenText • FileNet • Documentum • Hummingbird • Workflow Vendors • Staffware • Ultimus • Filenet • Plexus • Action Technologies • WHY IS EVERYONE PURSUING THE MARKET? • MORE IMPORTANTLY, WHY ARE THEY FAILING?

  16. Typical Points of Failure • Lack of understanding of the “real” process • Lack of understanding of “WHY?” there is a process • Lack of communication concerning process and retention rules within the organization • Lack of technology which can address the process and eforms requirements on an enterprise basis • Business changes such as: • Budget cuts • Mergers • Downsizing • Reorganizations • Competitive threats • Key project employee turnover How are the corporate records managed?

  17. Serving the Process Providing an End-user Interface Key Benefits: - Robust, reliable - Integrates with existing systems - Process agnostic Key Benefits: - One place for all user process management needs - Tracking, reporting, and administration functions - Process Agnostic Movaris Server Movaris Dashboard The Movaris Solution Movaris Process Builder

  18. Apply Fields Add Process Intelligence Deploy to Server • Generate JavaScript for the client UI • Deploy process to server and make available on the Dashboard • Set server properties • Define and reserve database space • Built for a business analyst to deploy Apply Fields to the background using Adobe Acrobat. Movaris Process Builder Add business intelligence to fields, control visibility and data permissions and routing rules. Deploying an Online Process Build Background • Either print existing background to PDF • or - • Build a new background using any publishing tool and print to PDF

  19. Routing can change based on data inputs Pull-downs can be fixed or pre-populated from a database based on data inputs Process UI can handle validation and automatic formatting without requiring a server trip (408) 540 - 1400 The Process Interface Movaris toolbar adds routing capabilities & process agnostic features

  20. Starting a Process • John decides to start a Sales Contract Approval process. Selecting the contract approval process launches the process UI, a.k.a. the form that starts that process.

  21. Once the VP clicks on the link, he is taken to his view of the process. • He may not see everything on the process UI • He may have extra fields that he is required to fill out • Permissions may allow him to change data VP Sales Receives a Notification VP of Sales gets notified via email and has the process added to his inbox. • Messages show up in his corporate email • Even without access to email, “to dos” are tracked in dashboard

  22. John can use the Dashboard to see “whose desk the process is sitting on”. • The server tracks all submittals, approvals, cancellations, and transfers • Overdue processes will send reminder notifications to approver and submitter The process moves through its required approvers in the organization. • Approvals vary based upon the data in the process • Everyone in the process has visibility into where the process is at • Process statistics track everything that is going on in the processes, enabling process analysis and improvement APPROVED John is Able to Track the Process Progress

  23. Process data is stored in the database and integrated with existing systems. Process Data • If the company has an ERP system such as SAP or PeopleSoft, the process can talk to those systems Oracle, DB2, etc. SAP, PeopleSoft, etc. Once Approved, John is Notified, Data is Stored John receives notification that the process is complete • John receives an email notifying process completion; may include process data • The process moves from the “Submitted Processes” folder of the website to the “Closed Processes” folder • John can see the final, approved process

  24. In conclusion…. • Though many people think of electronic forms differently… • The E-form is an automated and interactive template for capturing, processing, displaying and creating output from defined sets of business data. • The electronic forms market continues rapid expansion, due to: • Quality initiatives • Digitization initiatives • Technology and network investments • Technology advances • There are hundreds of forms and processes which can be automated • There are many software and solution vendors in this marketspace • Electronic forms vendors • Workflow vendors • Document management vendors • To succeed in implementing “electronic forms”, companies and vendors need to better understand processes and legal requirements centering around the forms.
