  3. What is Je-S? Je-S is used by AHRC, BBSRC, EPSRC, ESRC, NERC and STFC as well as the Technology Strategy Board (TSB) and Energy Technologies Institute (ETI) , to provide their communities with electronic research grant services. The Je-S system is used for: • Creating a proposal to one of the UK Research Councils • The Peer review process for proposals submitted to the UK Research Councils • Submitting of reports for ongoing grants made by one of the UK Research Councils All funding applications made to the following Research Councils are submitted electronically, using the Full Economic Costing (FEC) methodology.

Where to start • Firstly: • Is your research idea eligible? • Does it fit with the Research Council priorities? • Have you read the Research Council’s guidance and information? • Have you spoken to you research director/cluster leader or equivalent? • Have you thought about the finance – what will you need? e.g. research assistant, equipment • If yes, then you are ready to start • Click on the website to get started https://je-s.rcuk.ac.uk

  5. Getting started If you are a new user, click ‘create an account’ If you are a existing user, log in

  6. How to create an account Read the ‘Create Account – Terms and Conditions’. Scroll down the page to the Accept or Not Accept buttons. Click on Accept.

  7. How to create an account cont. The following screen will be displayed. Enter your email address. Click on Account Check. The system checks whether you have an account set up already.

  8. How to create an account cont. Choose your account type: Principal investigators or staff applying for various research grants. Academic staff, school administrators, research/grant administrators responsible for preparing supporting documentation for various research grants.

  9. How to create an account cont. • A series of screens to complete: • personal details, • job title, • equal opps, • qualifications, • organisation, • department • All mandatory sections are marked with a * • You will be asked to create a user name and password before your confirm your details.

  12. Creating an application Choose the correct council, document type, scheme and call where appropriate and create your document

  13. Creating an application You will notice that the screen style changes and takes you to the specific Research Council Je-S site. (all the RC Je-S pages are the same, the only difference is the colour)

  14. Creating an application Start by completing the project details. ‘Your reference’ will be eventually be the reference no. provided by finance but in the meantime chose your own reference.

  15. Creating an application When you have completed a section, save the details. This section will turn from a red cross to a green tick to show that it has been completed. Tip: Remember to keep clicking save so you don’t lose your work.

Getting help • For every screen that you need to complete, there is an corresponding ‘help’ screen. • It’s an intelligent help system, it knows which box you are in and provides a summary of the requirements, definitions and advice. • Click the help icon at the top of the screen to access it – it will open up in another tab or window. • Tip: Before you start a section click on the help icon.

  19. Attachments • The attachments are the most important part of the application. The content of these will inform the sections on Je-S. • The required attachments are listed in the specific Research Council’s Funding guide and calls for proposals. • Examples of attachments: • Case for support • Pathways to Impact • Justification of resources

Requirements for all attachments • a minimum font size (restricted to size 11 or higher unless specified by the RC) • minimum margins in all directions of 2cm must be used • for accessibility purposes, a sans-serif font style such as Arial is advised as it is more easily readable to those with visual impairment • for the same reason, type should be justified only on the left hand side • check the page requirements e.g. Pathways to Impact is a maximum of 2 sides of A4 • However, please check the specific guidance as some Research Councils have different requirements – or check with Marie-Claire/Jacqui

Things to think about • Avoid specialist characters and symbols (e.g. mathematical symbols, bullet points) because these may not transfer successfully. • Every return is counted as a space and will affect the character count. • You need to click save frequently on Je-S! • You should convert your word attachments to pdf format when you are ready to submit and check that they have converted properly. • For text that you are inputting into Je-S, think about typing and saving it in a word doc.

Next steps • So you have completed the attachments and the main sections on Je-S and you are happy with the content. • But: • Are you following your school’s procedures? • Is your cluster leader/ research group leader aware that you are applying for a research council grant? • Have you spoken to your finance officer or your finance contact in R&E? • Have you asked for feedback from ‘a critical friend’?

Allowing people access • It is possible to allow other people access to your bids: • In the 'document actions' menu select 'administer user access'. • Choose - Add editor • Click on the select link to the right of the name box • Use the Search facility to enter the name of the person you wish to select. • Select a privilege for the user and a reason for their addition to the document. • Save the information. • An e-mail will be sent to the person who has been granted the access to the document.  • They will be able to access the document by logging into their own Je-S account, selecting 'documents' and opening the document from their document list.

  26. Tips and advice • See Je-S as a development tool. • Become familiar with it. • Use it like an on line filing cabinet. • Your work can be on Je-S for 6 months/ one year. • No-one can look at your work unless you give them permission. • Use us a critical friend.

  27. Future of RC funding and Quality Control • Research Councils receive more high quality applications than they are able to support and institutions submit more applications than are likely to be funded. • Research Councils need institutions to actively encourage self-management of demand and quality control. • Quality control is becoming a requirement for funding. • Systems being put in place.
