Necessary Computer Skills • Internet Explorer Browser Skills • Enter a URL address • Navigate via hyperlinks • Security, security, security … (did I mention security?!). Never leave your system unattended when PeopleSoft (or any other application) is running. Please lock your computer! • Basic Microsoft Windows Skills • Open programs from Start menu • Maximize and minimize windows • Open new or multiple windows
How to Log In • Internet Explorer is the preferred browser • You can log into PeopleSoft from any PC with internet access • Did I mention security?! • On July 1, you’ll find instructions for logging in at the CMS website: • www.csusm.edu/CMS
How to Log In (continued) • Once we’re live, logging in will be done through the campus Web Portal (my.csusm.edu).
How to Log In (continued) Once we’re live, enter your normal User ID and Password, then click the yellow Sign In button. (Your security level is based on your log-in, just as it was in Banner.)
Basic PeopleSoft Navigation – Your “Home” Page Menus will appear on the left side of each page. Home, Worklist, Add to Favorites, andSign Out links will appear on every page within PeopleSoft. (For now, we won’t use worklist.)
Basic PeopleSoft Navigation – Left-Hand Navigation • Left-hand navigation allows you to navigate to different areas of the database.
Basic PeopleSoft Navigation – Menu Symbols The right-arrow before a menu indicates there are more items under that menu. Click on the right-arrow to view the other items. A down arrow before a menu indicates you’ve reached the last level of items for that menu. A hyphen before a menu indicates you’ve reached the last level of items for that menu.
Basic PeopleSoft Navigation – Timing Out If there is no PeopleSoft activity for 20 minutes, a pop-up message will appear to warn you that your connection is about to expire. Unless you respond within 10 seconds, you will be signed out of PeopleSoft. (If you have multiple windows open, it signs you out of all active sessions.) If you wish to log back into PeopleSoft, click the Return to PeopleSoft 8 Sign-in link and re-login.
Create and Use Favorites • To create a favorite, navigate to the form. As long the form has a search button (magnifying glass icon), you can create the favorite. In this example, we’re adding “Maintain Requisitions” as a favorite. • Select Add to Favorites. • The name of the page will appear. You can accept the name or choose one of your own. • Click the yellow Add to Favorites button and your favorite will be created.
Create and Use Favorites – Accessing Favorites • You must first log into PeopleSoft before any of your favorites will work. • You can access your favorites by clicking on the down arrow in front of the MyFavorites folder in your left-hand navigation. • The favorite that you just created will appear in your list of favorites. Just click on the favorite to navigate to that page within PeopleSoft.
Create and Use Favorites – Arranging Favorites to Help You Navigate Quickly • Click on My Favorites in the left-hand navigation, and then click on Edit Favorites. • Change the sequence of how your favorites appear by placing the correct number in the box under “Sequence Number.” • Save the change. Close then reopen the My Favorites menu to see your change.
Work Smarter – Minimizing Keystrokes • Access Keys • Moves the cursor within PeopleSoft to a specific field on the page by using Alt in combination with another key. For example, Alt+1 will move the cursor to the Save button. • Hot Keys • Performs an immediate action within PeopleSoft by using Alt in combination with another key. For example, if your cursor is in a field that has a search capability, Alt+5 will open the Lookup or Search page. • Windows/Explorer Shortcuts • Works like keyboard commands, but are not unique to PeopleSoft. They can be used in most Microsoft programs.
Work Smarter – Using Access KeysPress Ctrl+K from any page to view list of keyboard commands • Alt+1– move to the Save button. • Alt+2– move to the Return to Search button. • Alt+3– move to Next in List button. • Alt+4– move to Previous in List button. • Alt + 5– to begin Lookup and Calendar processing • Alt + 6– to begin Pop-up menu processing • Alt + 7– to Insert Row • Alt + 8 –to Delete Row • Alt + .– to go to Next Record • Alt + ,– to go to Previous Record • Alt + /– to Find • Alt + ‘ – to View All • Esc– to cancel the currently active page • Page Tabs– move to another tab of the page. Type Alt plus the underlined character (then enter).
Work Smarter – Using Internet Shortcuts • F11– toggle between full screen and regular view of the window • Alt + Left Arrow– go to previous page • Alt + Right Arrow– go to next page • Ctrl + A– highlight text in an edit box • Home– go to top of the page • End– go to bottom of the page • Enter– activate a selected link • Ctrl + D– add a page to your favorites • Alt + F4– close the window • Ctrl + X– cut • Ctrl + C– copy • Ctrl + V– paste • Ctrl + P– print current page or active frame • Ctrl + F4 – go to the address bar/see recent websites
Do – Fill in all fields with an asterisk. These are the required fields. Do – Clear out the data on the Lookup and Search pages by clicking the Clear button. Do – Open a second Internet Explorer window to surf the net or view emailed links when you have PeopleSoft running. If not, you may exit PeopleSoft by accident without saving panel data. Don’t – Leave the form until you have saved your data. When you leave a form, you do not always receive a reminder to save. Don’t – Use the Forward and Back Arrow keys in the browser. Don’t – Forget to save your work before leaving your workstation or doing an offline task. The system times out if left idle for 20 minutes. Don’t – Close your browser window to exit. Be sure to Sign Out. Work Smarter – A Few Do’s and Don’ts
Basic PeopleSoft Functionality – Data Entry Fields • Checkbox – mouse-click in a checkbox to check or uncheck the box • Drop-Down List – click on the drop down arrow to select an entry from a list of valid values. • Edit Box – allows you to type in an entry or to search for a valid value by using the magnifying glass to the right of the box • Long Edit Box – allows you to enter free-form text into the field
Basic PeopleSoft Functionality – Search Results • Exact Match – If your search criteria is an exact match for only one record, PeopleSoft will go directly to the desired record. • List of Records – If your search criteria matches more than one record, a search results list will display at the bottom of the search page with a row for every matching record. • No Matching Entries – If your search criteria doesn’t match any record, the “No Matching Entries” message will be displayed.
Basic PeopleSoft Functionality – Search Results List The search results list will display a row for every record that matched your search criteria. The scroll bar as well as the record counter controls may be used to scroll through the results. The list is limited to 300 records. If you need to narrow the list down more, fill in new search criteria and search again.
Basic PeopleSoft Functionality – Running and Printing Reports • PeopleSoft will have many reports already built in (the “Report Manager”) • The Report Manager is used to print or e-mail some of the reports • The reports will be pre-formatted for you • Many reports can be exported directly into Excel • Most reports will rely on nVision and Query, but Brio isn’t going to disappear (Brio will still be used in Banner) • Customization of reports will be “down the road.” First things first….
Basic PeopleSoft Functionality – Opening Multiple Windows • You can have more than one window open – just use the New Window link. By opening a new window, you can do a separate search and not lose the data entry items in the original window. • The new window will open at the same menu level as the existing window • Having several windows open may affect PC performance.
Basic PeopleSoft Functionality – Pages vs. Forms A page is a single screen within a form. In this example, there are two pages in this form. Pages are accessed by clicking on the tabs located at the top of each page.

Basic PeopleSoft Functionality –Saving Data 2. After you click on Save, the word Processing will flash until the data is saved. Then the word Saved will flash momentarily in the same spot. 1. To save data that you have entered, click the Save icon.
Basic PeopleSoft Functionality –Logging Off The Sign Out link appears on every page. Click this link to sign out when you are finished working with PeopleSoft (or when you will be leaving your workstation).
