  7. Basic Standards for Recording Volume Holdings in MFHD • Variable fields used to record volume holdings • What to record; level of detail • Punctuation

  8. Serial Volume Holdings • Record permanent serial volume holdings in MFHD: • 866 41 $80 $a [volumes] • 867 41 $80 $a [supplements] • 868 41 $80 $a [indexes] • IMPORTANT: indicators for permanent holdings must be 41 not __

  9. 866: What to Record • Record volume number (enumeration) followed by coverage (chronology) • Precede the volume number with the caption if there; use standard abbreviations for the caption.

  10. 866: How to Record • Caption, numbering style, and chronology should be derived from the bibliographic record (see 362, 500 Description based on …) • BUT: record at volume level unless there are gaps • If chronological designation is not in 362/500, it can be taken from other sources in the issue • Express volume holdings as a range unless there are gaps • Use standard punctuation, spacing, & abbreviations

  11. Punctuation & Spacing (1) • Use parentheses around chronology. EXCEPTION: if a year is used as the designation, e.g. an annual report, parentheses are not used • Spacing: generally no spaces before and after punctuation • Colons: use colons to separate different levels of enumeration and chronology

  12. Punctuation & Spacing (2) • Comma: use to indicate gaps (missing issues, missing volumes) • Hyphen: use to express an unbroken range; never use hyphen to indicate volume holdings are “ongoing”:v.1:no.1(2002)- • Slash: numbering or coverage in a physical unit overlaps: t.1(1953/1954)

  13. 866 Examples (1) • 500 Description based on v. 2, no. 1 (April 2006) • If all issues of v. 2 are held: 866 41 $80 $a v.2(2006) • If all issues of v. 2, v.3 & v. 4 are held:866 41 $80 $a v.2(2006)-v.4(2008) • When there are gaps, use a comma & start a new 866866 41 $80 $a v.2:no.1(2006:April),866 41 $80 $a v.2:no.3(2006:Sept.)

  14. 866 Examples (2) • Annual reportBIB: 362 0_ $a 1984-MFHD: 866 41 $80 $a 1995-2007 • Combining gaps with ranges866 41 $80 $a Bd.1(2000)-Bd.3(2002)866 41 $80 $a Bd.4:Pt.1(2003:Herbst)- Bd.3:Pt.3(2003:Sommer),866 41 $80 $a Bd.5(2004)-Bd.6(2005)
