  3. Disaster Recovery • Scare the “bejesus” out of you with statistics and stories!! • Discuss Backing Up. • Round Table on Disaster Recovery.

Disaster Recovery • Over the course of the last 2-3 years I have come to realize that at least 5 in 10 PayChoice Service Bureaus owners\ managers\chiefs do not know at least one of the following: • Is somebody specifically responsible to make sure the backup happens, and does that somebody know how to restore files? • When was the last test of a backup tape performed? • What “plan” exists for disaster recovery? • What are your answers to these questions? Do you sleep good at night when you think about these things?

  8. Disaster Recovery • Choose a Method(s): • In-house (tape, pc, portable disk) • Service (Capital Backup) • Validate that Method: • Assign it to someone as a specific responsibility • Test it • Follow-up – make sure it happens – surprise restore • Terminate

  9. Disaster Recovery • Processing Center still usable: • Server down • Other critical component down • Processing Center cannot be used: • Fire, flood, power

  11. Disaster Recovery • What constitutes a plan? • A plan is always evolving? • Has it been tested?

  12. Disaster Recovery • Backup Hardware - Duplicate tape hardware. Required to restore and to backup at buddy site. Backup service such as Capital Backup makes it easy. • File Server • Workstations • Printers • Phones - Number switchover, Cell phones, Modem lines, BBS’s, Internet • Broadband Access – Email, Internet, FTP • Check stock • Paper • Envelopes • Delivery Envelopes • Postage • Delivery\Courier Service • Check\W2 Stuffing capacity • Work Space • Client lists on paper - Names, addresses, phone numbers, email addresses, fax numbers, delivery addresses, etc, p/r schedule • Blank timesheets – May have to take p/r’s on time sheets, and key later • Connection Clients – How will they get to new site? • PayChoice ONLINE – How will they get to new site? • PCServer setup - Need to have settings available (print screens), email addresses for ViewChoice, FTP settings for Connection and PCOnline. • Staff Transportation to new worksite • May have to consider working later • Is your payroll software provider prepared to assist? What is their experience in this area? • Is your network or IS provider prepared to assist? What is their experience in this area? • Is your staff prepared? Have they been exposed to the recovery process? • Have you gone thru the process, mental or otherwise, and documented the “your” steps toward recovery. You are the leader. You can’t lead unless you know the process. • ADP’s phone number for acquisitions in case the previous 25 items aren’t taken care of!! • Some of the items that need to be included in your plan:
