UPS :- Direct supply of electricity is to be continued even after closing of office. • Internet :- Do not switch ON /OFF modem after booting • ( starting up ) of computer. • Properly shut down the Personal Computer (PC) at the end of day to avoid chances of corruption of data on Hard Disk. • At regular interval (15 to 20 days) all Hard disks must be scanned & defragged. • Backup of Important database, Files & Folders must be taken daily & one copy must be kept, out of office premises. SUGGESTIONS

Make one client computer ready with server operating system can be used as subsequent server in emergency / incidence of failure of regular server. • Printer should be properly closed by covering after completion of work. • When starting the computer, check all peripherals like Printer, Modem, Scanner, Weighing scale etc.. are switched ON and there is no problem with USB device. • Anti-Virus software loaded on all computers and updated regularly. SUGGESTIONS

  10. It is recommended to use complex passwords ( Capital, Small Alphabet, Special Character & Numeric Keys ) e.g. ABcd@123 for all operators, supervisor & system administrator. Don't use blank passwords. • Watch for regular service provided by manufacturer or AMC holder of all computers & peripherals. • Apply the blower at regular intervals to all computers & peripherals for smooth working. • Check that floppy should not be left out in the computer before shut down. • If any programme is hanging or not responding, press Ctrl + Alt + Delete key and click on end task to close the particular programme.

Avoid use of unauthorised software - CD, Pen Drive, Floppy having virus. • Only authorised persons should be allowed to enter server room. • Replace ribbon - refill ink cartridge at regular intervals. • To move / adjust the paper by rod, it must be done by switching off the printer. • Oil Head rod in Dot-matrix printer regularly. • Before start of monsoon, all the computers may be cleaned ( dust free ) by blowing air as it acts as a conductor in wet atmosphere. • Clean area where computer equipment is installed. Preventive action for any damage by rat etc.
