Organizing Data • Items in a record schedule are grouped together to form Record Sets (templates) • End-users only work with Record Sets • Users are assigned to allowed sets
New Features • Approvals • Record Sets and Schedule items can require sets of signatures • Automated Processing • Process groups can be automatically or manually invoked on items
Approvals • Users are grouped together to form approval groups. • Groups have restrictions • Require 2 of 3 signatures. • Bob is a required signature • Groups are assigned to record sets or record schedule items
Processes • Similar processes are combined into groups. • Ie, all image format validators • Process groups are assigned to schedule items or record sets • Groups are assigned permissions • May delete items, add metadata, lock, etc • Groups are told when to run • Manually or automatically when new data is received
End to End workflow • On ingest, filtering processes run to perform basic validation. • (ie this a jpg, does it not contain a virus) • Process may add approval mark to ‘good’ files • Additional metadata may be extracted • Archivist may login and manually approve or reject. • Manual process is run against all items that meet approval to move to final storage
