Set up Vacation Leave • Request to supervisor for time off via email. • Once approved… • In CalAgenda: • Set up a Meeting to Block Time Off • Set up Daily Note: add supervisor and/or any co-worker. • Setup Email Vacation Message: • Go to Email via Web interface, https://imap.eecs.berkeley.edu • Setup reply message, begin and end dates, and enable. • Setup Phone: • Greeting message • Return date
Setup 1 Week Vacation • The following example is for setting up 1 week vacation from April 7th to the 11th 2008
Block Time in CalAgenda Log in to your Calendar Select weekly view Using the scroll arrows, select the week of April 7th to the 11th Select the Starting time (8AM) Drag the mouse to the end (5PM)
Block Time in CalAgenda Double Click on the highlighted area And this window will pop-up Give it a Title Then click on “Repeating…”
Block Time in CalAgenda Select the weekdays included in your vacation period
Block Time in CalAgenda Then select the end date
Block Time in CalAgenda All the dates will be populated here Click OK
Block Time in CalAgenda Notice all the dates populated here Click OK
Block Time in CalAgenda Anyone viewing your Calendar will see these dates blocked:
Setup Daily Note Right click here or hit F3 to setup a daily note
Setup Daily Note Mike Jones Give the Daily Note a title, include your name. Add your supervisor and/or co-worker’s names (People that will see your note on their calendars) Click the Check mark to populate the list
Setup Daily Note Mike Jones Add your supervisor and/or co-worker’s names (People that will see your Note in their calendars) The Name is populated on the list Click OK
Setup Daily Note Click "Yes" This windows will Pop-up You may add more text to the message here, or just click on "Send"
New Daily Note • Use “Daily Note” for planned absences • F3 or • Right click on day and select New Daily Note or • Edit > New > Daily Note • Repeating • Add your group or your team lead • Planned time away from the office is visible to other team members • Send email to “attendees” • Block time on your calendar with a Meeting to show when you are out of the office
