Multi-Facility Processing General Facts • aka Centralized Processing • Multi-Facility Processing allows organizations that maintain many different Great Plains databases to consolidate them into one database in order to share critical Master files such as Vendors, Customers and Inventory. • Allows for facilities and departments within facility structures. • Users can be associated with one or many facilities. • Has standard intercompany transaction functionality – due to / due froms – between facilities. • Checkbook IDs are associated to facilities and are not accessible to all users.
Single Db vs. Multiple Dbs Why move to a single database architecture? • To share critical Master records such as Inventory, Customers, Vendors and GL accounts and reduce data redundancy • To eliminate the manual “sync’ing” of Master records between different databases • To maximize organizational access and control of data • To streamline month-end reporting consolidations • To control user access into each company • To avoid logging in and out of multiple databases • To eliminate the cost of maintaining of multiple databases • We control incorrect / inconsistent GL coding when allocating costs across facilities.

User Access • GP Users are assigned to one, many or all facilities. • Multi-Facility “filters” the transactions that a user can see or transact • For instance, an AP user in the system would have access to al facilities whereas a purchasing agent from one facility might only have access to only his own facility.
Features • Facility Allocations • Multi-Facility provides a cost allocation template library to allow organizations to standardize costing between facilities • Templates help to keep coding consistent between facilities and users • Inter-Company Transactions • This is standard due- to / due – from intercompany functionality that we provide as part of the Multi-Facility solution • Facilitates transactions made by one facility on behalf of another or many other facilities.
Transactions in Multi-Facility • Users can create transactions through any facility that they have access into • Multi-Facility can apply allocation templates to transactions • Account distributions are automatically updated to ensure that all inter-facility coding is done correctly.
Filtering in Multi-Facility • The Chart of Accounts, Vendor, Customer, Employee, Inventory and Inventory Site files can be filtered by facility. • If no Master file filtering is desired, all the above Master files can be accessed universally by all users. • Chart of Accounts filtering allows users to see only the accounts that they have facility-access to.
Account Substitution • Multi-Facility Processing can define the facility segment for GL coding of transactions • Account Substitution can substitute the facility segment for GL coding where Great Plains defaults are to static GL codes • Account Substitution eliminates coding errors in Great Plains • Multi-Facility Processing can also fix the GL code to specific facilities which is ideal for more centralized AP configurations.
Inquiries in Multi-Facility • Multi-Facility “filters” the data that a user can view through inquiries • A user, in case, has security to view any one of 4 facilities’ transactions or view any combination of the 4 • Users may then drill down into transaction specifics.
Reports in Multi-Facility • As in inquiries, Multi-Facility “filters” the data that a user can access from any report • In this example, we have a classic AP trial balance which is run for 2 of the 4 facilities that this user has access to. • True divisional financial statements and agings.
Setup • While Multi-facility Processing touches many aspects of Great Plains accounting, set up is easy and intuitive • From defining a segment for facility/locations, determining user visibility to setting up other data features, most installations can be done without significant technical knowledge.
