  1. Spring Departure Meeting 34 Days Until Departure

Broadway and the Arts Chapter Before We Leave • Departure Date: June 25 • New TSA regulations require that all travelers who are 18 years or older at the time of travel MUST present a government-issued photo ID. The name on the ID must match exactly to the airline ticket presented at the airport. (driver's license, I.D. or passport ) • Reminder to parents and students: If you are placed on the ineligibility list, you will not be allowed to travel to New York and your payment will not be refunded. (Any student that received two F's for the quarter shall become ineligible until the next 9 weeks.) • If you need to be sent home for violations of rules, it will be at your family’s expense. Page 1

Chapter Before We Leave Distributing Money Money Distribution and Passport/Birth Certificate Meeting -Fund-raised money will be distributed in full, about a 2 weeks prior to departure – -In order to receive a fund-raising check, students must provide the following items --Tour Release Form --Parent approval and checklist --Copy of Identification (passport or driver’s license.) --Copy of medication record --Copy of credit/debit cards Page 2

Chapter Before We Leave Luggage Luggage -Students will be required to drop off all luggage (check bag and carry-on) on Friday, June 22 at 6:00 p.m. in room 107. -Students will be informed via weebly of any changes. -You should be able to live without the items you pack for those days (medications can be added the day we leave) -We will be going through all luggage prior to departure 1. Check for alcohol, cigarettes, etc. 2. Check carry-on for proper items 3. Check main bag for proper items Page 3

  5. Chapter Before We Leave Luggage Luggage (CONT.) -Please have luggage tags on both bags -Luggage will be packed into vans prior to leaving; students will not be able to access luggage in the days prior to departure Page 4

Chapter Before We Leave The Day we Leave Date of Departure -We will not know the exact date of departure until we receive plane tickets in early June -Please stay flexible on departure times -Do not make major plans in the days leading up to our departure date -Be on time the morning/afternoon/night we leave. We will leave from __________ -Get enough sleep prior to departure. -Eat prior to departure and bring along some snacks to save yourself some money. Page 5

There is a one hour time difference in New York. They are one hour ahead of Wisconsin.

  8. Carry-on Baggage You may carry on one bag and one personal item at no charge. Please note that all items must easily fit into the overhead bin or under the seat in front of you. Approved Personal Carry-on Items 1 purse, briefcase, camera bag, or 1 laptop computer or 1 item of a similar or smaller size to those listed above. Additional Approved Carry-on Items You may also carry on the following items, which do not count as personal items: A jacket or umbrella. Food or drink purchased after clearing the security checkpoint. Carry-on Baggage Size Restrictions When oversized bags do not fit in the overhead bins, delays occur. Fees will be applied to the oversized bag if it has to be checked at the gate. To avoid delays as well as fees, follow these size requirements: Baggage may not exceed 22" x 14" x 9” or 45 total inches Baggage must fit easily in the Carry-on Baggage Check, which is located near the check-in counters and at the gate.

  9. Checked Baggage- $50.00 round trip 50 lbs 62 inches when you total length+width+height Want to check in for your flight and pay for your bags before you arrive at the airport? Within 24 hours of your departure, you can tell us how many bags you will check and pay any fees quickly and easily online. When you arrive at the airport, you can drop off your checked baggage at the nearest baggage drop, marked with red "Baggage Drop" signage, or curbside check-in station (available within 6 hours of departure time). You may also check your bags at the airport kiosk, ticket counter, or curbside; however, please note that higher checked baggage fees may apply if paid at the airport.

  10. 3-1-1 The one bag limit per traveler limits the total amount each traveler can bring. Consolidating the bottles into one bag and X-raying them separately from the carry-on bag enables security officers to quickly clear the items. 3-1-1 for carry-ons = 3.4 ounce bottle or less (by volume) 1 quart-sized, clear, plastic, zip-top bag; 1 bag per passenger placed in screening bin. One-quart bag per person limits the total liquid volume each traveler can bring. 3.4 ounce (100ml) container size is a security measure.

Chapter Before We Leave To the Airport Travel Arrangements to Minneapolis -Parent drivers will be needed to and from the airport in Minneapolis -It would be very beneficial to have the same people on the way there as we have on the way back -Times (AM/PM) will not be established until the airline tickets are received -Times could be in the middle of the night -You will not be able to drive your own vehicle, we will [probably] be using a district vehicle -Drivers will be responsible for getting keys from the District Office before coming to pick travelers up from the airport Page 6

Chapter Before We Leave At the Airport Airport Stipulation -Name/badge on your body at all times -Be mature and vigilant at the airports -Always stay together- best to stay in three’s -Tell me if you are going to the bathroom, travel with others--never alone -Do not test the carry-on rules -Take care when buying souvenirs, some cannot go in carry-ons; others are too fragile and must go in carry on -We spend a great deal of time in airports and on buses; get used to finding ways to occupy yourself in a quiet manner Page 8

  14. Chapter Before We Leave Money on the Trip Spending Money?? 1. How much should I bring? It depends on how much you plan on spending. If you are buying gifts for several family members and friends you will spend a great deal. If pictures are your souvenirs, you will spend less. 2. How much do you spend ? On a average students spent $30-$50 per day. 3. What will I be spending money on? Water, lunch, souvenirs, travel to the Guggenheim, personal items, etc. Page 10

  15. Chapter Before We Leave Money on the Trip Spending Money?? (CONT.) 4. When and where will I be able to get money during the trip? ATM’s are the easiest to use. 5. What are my options to spend? Cash, traveler’s checks, debit and credit cards. Make a copy of all cards and keep them with you at all times in the event they are lost or stolen and one additional copy to us. Notify your card company of impending travel. Page 11

Chapter Before We Leave While Traveling On the Bus -Students will spend a great deal of time in a tour bus, moving from location to location. -Medford will generally occupy the same section each time they board the bus. -Items left on the bus are typically safe…but should be properly stowed away before stepping off the bus each time. -Time on the bus is down time. Use it properly…to look out the window at places you will probably never see again, read, sleep, talk, meet new people, listen to music, etc. Page 12

  17. Chapter Before We Leave While Traveling On the Bus (CONT.) -When the tour guide is talking…you are not -Be respectful of the bus driver’s rules -Be respectful with curtains. You may be blocking the sun but also someone else’s view -Be respectful with your seat. Do not recline your seat so that someone else’s trip is miserable. -You are not to be walking around -Use the stops to go to the bathroom Page 13

  18. Chapter Before We Leave While Traveling At the Hotel -Hotel time is free time, generally. -However some common sense practices must be adhered to: 1. Curfews are non-negotiable…you are to be in you room by the time that is established. 2. Bedtimes are your responsibility, but we are usually up by 5:30-6:00 AM. 3. No one leaves the hotel without our permission. 4. Keep the volume down (slamming doors, voices). 5. Be up and ready in the mornings 6. Eat enough for breakfast…it’s free 7. Never swim alone. Chapter Before We Leave While Traveling On Tour -Tours can sometimes get long, be prepared -No complaining -Be attentive to the tour guide(s) -Pay attention to directions and landmarks -Keep up with the group -Be on time--our deadlines will always be five minutes ahead of the other group’s -Most of you will never be in these locations again, take the time to soak up as much as you can Page 15

  20. Chapter Before We Leave What else? -You are representing Medford Area Senior High School and we expect you to be on your best behavior with the other groups. All school rules apply whether you have graduated or not. Please make sure that you are with the Medford group when using any form of transportation. Have a good time!!
