Project Management Criteria Projects are oriented towards a goal There is something unique about every project Projects have a finite duration Projects require coordination of interrelated activities
What is project management? Focuses on controlling the introduction of the desired change. This involves: Understanding the needs of stakeholders. Planning what needs to be done, when, bywhom, and to what standards. Building and motivating the team. Coordinating the work of different people. Monitoring work being done. 5 Project Management Stages Project proposal Scoping the project 1 Developing the Plan 2 Launching the plan 3 Monitoring and Controlling 4 Closing out the Project 5
Scoping the project A short, crisply phased piece of information covering : What is to be done Why it is to be done Value it provides if it is done
Scoping the project State the problem/Opportunity Establish the Project Goal Define the Project Objectives (S.M.A.R.T) Identify the Success Criteria (bottom-line impact/outcomes) List Assumptions, Risks and Obstacles (Technological, environmental, interpersonal, cultural, political)
Developing the plan Identify Project Tasks (WBS) Estimate Task Duration (similarity to other acts, historical data) Determine Resources Requirements (people, facilities, money, time) Construct/Analyze Project Network (dependencies) Prepare the Project Proposal
GANTT CHART Visual scheduling tool Graphical representation of information in WBS Show dependencies between tasks, personnel, and other resources allocations Track progress towards completion List all tasks and milestones from the SWB along the vertical axis List time frame along the horizontal axis
GANNTT CHART Activity 1 Activity 2 Milestones Time frame Day 1 Day 2 Activities: Create box of length of each activity time duration Milestones: Create a diamond on the day the milestone is scheduled to be completed Dependencies: Show dependencies between activities with arrows
Responsibility Matrix Create accountability by assigning each task to a person
Wrap-up At its most fundamental, project management is about people getting things done. Dr Martine Barnes, APM President
