A. 3-month parallel testing • Test depts identified & trained for 8/08-10/08 Pay Period leave entry into HRTEST AM database • 8/08PP entries=8/27/08-9/10/08 • 9/08PP entries=9/26/08-10/10/08 • 10/08PP entries=10/24/08-11/10/08 • Special schedule employees identified & entered into HRTEST by 8/27/08 • Test group enters real data based on dates (item 1 above); MultiReport run (CSU Absence Management) and used as key-entry for actual LAS entries. • 9/11-12/08 • 10/11-17/08 • 11/11-14/08 • Month-end file created for review • 9/22-26/08 • 10/20-24/08 • 11/17-21/08
B. Conversion file creation • 2 CIRS files used to create conversion record. Data merged and uploaded by CIS to start conversion process • 8/1/08 run date=8/18/08; complete 8/20/08 • 11/1/08 run date=11/17/08; complete 11/19/08 • CIS generates staging report • 8/1/08----complete 8/21/08 • 11/1/08 ---complete 11/20/08 • CIS/Payroll/HR/APS to review and correct data as needed (8/1/08 complete 8/26/2008; 11/1/08 complete 11/25/08): • Job Data failed Error • JOB DATA CREATED • JOB DATA FAILED • JOB DATA FUTURE UPDATES • Job Data Componenet Interface Log • List of items must be processed prior to upload • 8/1/08 process complete by 8/26/2008 • 11/1/08 process complete by 11/25/08
C. Pending issues • CMS issues which are in conflict with CSUF current practice: • Faculty use of FTE to replace schedule • ADO changes needed—currently too cumbersome • CTO postings at 2 rates cannot be posted on same date • Possible erroneous set-up for HT process (R06 & R03) • CTO usage not allowed for M80’s • CTO @ straight time (TAKE) NOT AVAILABLE as an option for R08 & R01 & R03 • Campus issues which require written policy: • Transfer of leave from one position to another-rules needed • Internal process of how AM hrs are to be handled when employee separates, paid off, retired, etc. Current supported process in LAS is to zero out all leave, ignoring the non-match of hours. Suggested method for AM would be to monitor returning employees and adjust hours for the few who return. • Unconfirmed CMS set-up on Hourly employees: • T&L integration issues are cloudy; add’l time needed to confirm timing of T&L and AM issues—Hourlys will remain on LAS until 6/09.
D. CIRS DATA • Reports written to support conversion: • FR2CABAL-1 of 2 for conversion (upload file) • FRC2AOTH – 2 of 2 for conversion • FRAMLASE – for LAS data to combine with AM at month-end. • FRLASCAT – used to supplement info needed to revise conversion file prior to upload. • FOC6011 used to download 5 yrs archive data • FRLASCON-Report used to quickly identify converted data for any employee converted (11/1/2008 for Fresno) • GAAP reports will be run early for 08-09 (7/08-10/08 data) which should combine with CMS reports by CIRS team. • Request was made to have CIRS FREEZE monthly employee leave so reports may still be generated off CIRS.
E. Effect to employees • November 1, 2008 (October ’08 payroll) will contain Last printing of leave balances on payroll direct deposits and warrants • Self-Service available first showing on 11/26/2008 to reflect Nov 1, 2008 begin balance
