SSVF HMIS Documents • HMIS Data Dictionary • Minimum requirements for compliant data collection • Technical Document with vendors as the primary audience • What controls the assessments presented and field required in different workflows
SSVF HMIS Documents • HMIS Data Manual and VA Program HMIS Manual • More readable: Provides explanations and context for the requirements. Sometimes provides suggested methods for asking questions • Provides background information provided to CoCs about your VA projects

Veterans Information • Branch and service dates for veterans with multiple periods of service • Use the branch and dates of the longest continuous period of service • If identical periods of service, then use combat era service period • If all or none are during combat era, then use the most recent.
Data Quality • Part of your monthly upload process • Validation errors need to be corrected • Data Quality errors should be addressed • VA Repository should give you the file and row number of offending data • Have a narrow window of when you can make corrections • Should make changes to the data in CT, and then re-run instead of making edits to CSV files directly.
Data Quality • List of 43 checks – Some about unknowns, some about data that isn’t “correct” • Fields allow you to save Doesn’t Know/Refused/DNC, but it doesn’t mean that the VA will accept many of them • Unknown Demographics; PII • Unknown Income/Benefits • Unknown Veteran Details • Unknown Insurance/ SOAR
Data Quality • Data Quality checks beyond DK/R/DNC • HP Clients with Homeless Living Situation • RRH Clients with Housed Living Situation • Is there a veteran in Household • Very high income • Veterans have full SSN
Outside of HMIS • Screening • Data for persons who are screened but not enrolled should never be entered into a VA project and should not be uploaded to the Repository. • Eligibility Determination • Documentation must be obtained for data elements directly tied to program eligibility.
Coming Soon…. • Scenario: Veteran comes to Agency A qualifies and is enrolled in SSVF, refused to share project level information. Next month, arrives at Agency B. How do you know if their already enrolled at Agency A?
Coming Soon…. • Will be able to check if a client is currently enrolled at another agency, prompting additional follow up • Contain historical information of when the check was run, the Client ID, etc.
