  3. Warehousing 101 What is a warehouse? Property Management, Supply Chain and Real Property views Can storage needs be met through other means, including JIT shipments, etc.? Facility location and storage needs Operations and Maintenance costs Does the existing or planned warehouse meet changes in the organization's mission or growth?

  4. Warehousing 101-continued Is the warehouse viewed as an extension of the attic or basement- out of sight/out of mind? Cost to collect dust The first step is to determine your needs and requirements If storage is necessary can it be done by other methods? Requires a candid discussion including cost to build, lease, or outsource

  5. We have one, now what? As the owner of a warehouse what are you going to do with it? Who will operate- internal, contractor, or combination on a full or part-time basis? What are you going to store? Any special handling requirements needed including temperature or humidity controlled storage? Location and impact on neighborhood. Probably not a good idea to store explosives or hazardous materials items in a residential area!

Receiving Operation • Usually the first location where the property is physically touched, for central receiving operations • Receiving procedures: • Check for appropriate address/location • Compare PO with Bill of Lading • Other delivery instructions-special handling • Inspection criteria and rejection policy • Radioactive materials , explosives , weapons and pesticides have specific labeling and shipping requirements • Define protocol to handle exceptions

  7. What you need to know about the incoming property? Quantity Nomenclature (what it is)-standardize in your system Make and model number Serial number/barcode and/or RFID number Date of acquisition Acquisition cost Location, Custodial Area, End User, etc. Input as soon as received Warranty info

  8. Additional Information Size/weight characteristics Move out immediately, wait to consolidate, or provide storage Storage location Special requirements or secure storage Hazards involved, if any Controlled access

Interface with Property Management • What PM wants to know about the incoming property: • Quantity • Nomenclature (what it is)-standardize in your program where possible • Make/model number • Serial number/barcode or RFID number • Date of acquisition • Acquisition cost • Location/Custodial area, etc. • Input into property system as soon as received • Warranty information

  10. Additional Property Management Information Depreciation applicable? Special handling requirements-unique characteristics Preventative Maintenance needed? Building/utility alterations needed? How will this information be conveyed?

PMIS • Is there an automatic interface between the warehouse and the property management information systems? • If not, how is the data entry handled? • When received, how soon is it put into the hands of the requesting activity? • What is the hand-off/sign-off process between the warehouse and the requesting activity?

  13. PM/Warehouse Operational Nexus Over its life property may go back to the warehouse for temporary storage and/or disposition. Data elements for disposition are similar to the PMIS requirements. Information fed back to PM, finance if a capital asset, acquisition, program, etc. as required.
