Field Discussion MiChart has many new field names, most are related to HealthQuest field names, but the size, format and function may differ greatly. Few of the key fields discussed below convert directly, between MiChart and HealthQuest. Key fields include the following: Application Name - Michart HealthQuest MRN CPI Contact Service Number (CSN) Visit number Patient Class Patient Type Patient Type Several Fields Department ID/Unit Location or Resource ID /Unit Service Codes Service Codes
Key Data Fields - MRN - CSN MRN - CPI The MiChart application will implement Epic’s recommendation of using the Medical Record Number (MRN) to identify the patient. The MRN will be assigned in the same manner as the CPI/ MRN are currently assigned in HealthQuest. The MiChart MRN will replace the CPI as the Patient Identifier. MiChart will use all 9 digits and will start the number at ‘100,000,000’. Patient demographics in HealthQuest will be loaded into MiChart and the CPI numbers will turn into their MRN number. MiChart MRN HealthQuest CPI 100000000 010000000 CSN – Visit +Date or Service (EWS used Appointment number) The Contact Serial Number (CSN) will be a numerical sequential number that is unique for every encounter, appointment, visit, or admission for every patient in MiChart. It will replace the ‘cpi+ visit’ as a unique identifier for patient care. This number will be up to 10 digits long and will start at ‘10000’. We have over 1.5 million appointments a year and will reach 7 digits within the first year of implementation. Since the CSN is a unique number and is assigned at the encounter level we will have the highest level of granularity. This will improve our ability to tie back directly to the patient for any encounter/visit record such as order, result, charge or document. For the most part, the CSN will be used when submitting Charges. Downstream applications will receive the CSN in place of the Visit Number MiChart CSN HealthQuest Visit Number 1000000000 1000
Key Data Fields – HAR – Department ID HAR – Account Number (CPI+ Visit) The Hospital Account Record (HAR) is a unique number that is assigned based on Hospital Billing Rules. Since the HAR is a unique number it gives us the flexibility of attaching Multiple CSN’s based on the needs of Hospital Billing. This method separates Patient Care from Billing while providing us the highest level of granularity. This will increase our ability to provide the best patient care without compromising our billing. The HAR won’t be used in patient care. Downstream applications will receive the HAR in place of the Account Number MiChart HAR HealthQuest Account Number 100000000123456789 1000 Department ID – Location (Outpatient)/Unit (Inpatient) Department ID in MiChart is the HealthQuest Location or the EWS Resource ID. It has been expanded to be more descriptive of the location and more beneficial for reporting. Key Data Fields - Patient Class – Patient Type Patient Class – Patient Type Patient Class is a billing tool in MiChart. It is used primarily to support billing and suggest the correct HAR Downstream applications will receive the HealthQuest Patient Type (e.g., I, O , G, E) Patient Type – Patient Class + VIP+ Destination Program + Confidential + Corporate Level User Codes Patient Type indicates a special patient characterization, such as Employee or Anonymous. It can also be used to drive confidentiality. UMHS will also use Patient Type to identify our Destination Program patients.
