WICT Chapters – Best Practices – Early 2010 • Stay the course – the year has only just begun! • Improve on last year’s performance by doing the following: • Review 2009 MCBP submission to see where your teams were successful and where they fell short – make preliminary adjustments accordingly. • Set up internal processes to enhance your team’s responsiveness - streamline efficiencies, work flows and improve approvals/checks/balances. • Stress QUALITY VERSUS QUANTITY when meeting your programming objectives. Scale back # of programs as you need to and use available resources to save time/money. • Include more web based and/or virtual programming into your programming calendar to help meet company demands. • This will be included (subject to minor tweaks after Exec approval) in the 2010 MCBP (and discussed) but to ensure each chapter is meeting industry needs and fulfilling WICT expectations, Chapter leaders must engage in the following (14) actions with regards to Programming: • Thorough review and group discussion in early 2010 of existing WICT program • guidelines to ensure understanding and compliance. Be flexible and adaptable when • making the necessary changes. • Coordinate meetings with key stakeholders in early 2010 to ensure company • awareness and support of planned events. • Interface regularly with lvega@wict.org and lmcbee@wict.org prior to formal • distribution of Chapter event promotional ads to ensure branding and programming • compliance. • Attend WICT National programming webinar early in 2010. • Network with other Chapter leaders to engage in best practices and share program • suggestions and ideas.
WICT Chapters – Best Practices – Early 2010 • Incorporate takeaways and member benefits into your programs and in your ads. • Appoint a program committee to assist Chapter programming chair in outlining “definite” and “proposed programs and activities to incorporate goals, takeaways, and value proposition of each. • Consult your Chapter Advisor to enlist advice and assistance with company outreach. • Follow proper channels and formal approval process within Chapter. • Survey your members – pre and post events to help gauge success. • Programming chairs will submit the Chapter post program report within one week after scheduled Chapter event to lmcbee@wict.org. • Refer to the “Event Planning” document in preparation for a Chapter event. Contact Jennifer Rosenberg at jrosenberg@wict.org for further information. • Submit event promotional ads via WICT Connects on the WICT National website. • Utilize the Chapter Library Initiative offerings at least one time annually. • Remain true to the WICT mission of developing women leaders who transform our industry. • Review 2010 MCBP (when received) with your respective teams. • Adhere to WICT guidelines and instructions throughout the year. • Ensure attendance is met for MANDATORY webinars and conference calls as outlined by WICT. • Interface, as needed, with your WICT staff in Chantilly. We are here to help! • Remember to work together as a team – encourage the spirit of collaboration. • Embrace change – we are evolving – you must too!
WICT Chapters – Best Practices – Early 2010 • Be responsible and accountable for your Chapter role – give it the respect it deserves! • WICT Chapter Presidents and Advisors are the leaders of your Chapter team - look to them for guidance and support. • Get a good membership start: • Become very familiar with key resources: Chapter Rosters, Non-renewal Rosters, Goals • Worksheet, Chapter Leadership Resources. • Develop a membership plan and reference often. • Board meetings should include a membership update and track how you are doing against • Model Chapter Business Plan. • Know your chapter goals – reference monthly. • Start early: Reach out to members needing to renew (divide list up among board). • Always use current lists-no more than 1 week old. Contact membership@wict.org to • request update (Robin Burke Zahory and Donna McDonald, WICT staff). • Make sure membership has a spotlight at all chapter events (materials, announcements, • first hand testimonials from members wanting to get more involved). • New Members: include them at events, reach out to them at intervals via a call. Also • recognize them on website and/or newsletter. • Keep members involved: not just through attendance, reach out to returning, long term or • senior level members asking them to mentor and give back.
