  4. CSUID • Replacing PID which is often an SSN • A new 9 digit unique number for anyone associated with the University • Begins with an 8 • Created by adding a persons information to the new ARIES system • Re-issuing University ID cards to include CSUID on them

  8. Creating CSUIDs for Associates • Goal: All Associates have CSUIDs by 9/1/2006 • Must add the Associates information to ARIES to create a CSUID • Problem! To avoid duplicate records, more information is needed: • MUST have full name • MUST have Date of Birth • Full address (street, city, zip) helpful • Home phone number helpful • Gender helpful • SSN makes it much more reliable, if the person is willing to let us have it

  9. SSN Disclosure • Though not required, SSN is strongly encouraged • Why do we ask for it? Colorado State University requests Social Security numbers (SSNs) for tax reporting purposes and to resolve identity discrepancies across multiple information systems. Is it required? Submitting your Social Security number is mandatory for tax reporting purposes but is not mandatory for other purposes. However, it is very strongly encouraged to improve our ability to provide you with the full suite of on-line services. How is it used? Colorado State University does not release Social Security numbers without the consent of the individual, except as mandated by law (i.e. income tax reporting, applications for student financial aid, etc.). The University has strict policies protecting and prohibiting the use of SSN and uses every reasonable effort to hide and protect SSN.

  10. Associates Database Changes • Added missing data fields to Associates • Date of Birth • Gender • Changed required data • Gender, Date of Birth, Street, City, State, Zip, Phone • Renewal cannot complete without entering missing required data • Created new ‘Personal Update’

  11. Gathering the Additional Information • Four ways: • Personal Update • Renewal by a Sponsor • Renewal by an Associates Database department administrator • Adding new Associates

  12. Personal Update • Associate can login with their eIdentity • Can view/modify existing data • Cannot commit changes until all required data has been provided

  13. Renewal • Sponsor or Associates administrator • Cannot update expiration date until all required information has been provided

  14. New Associates • New required fields • Cannot add new Associate until all required information has been provided

How do we get the needed data? 1 of 2 • 4/1/2006 • Modify Associates to require additional data • Where possible, add the missing data using Oracle HR and ISIS • 4/19/2006 • Email Associates with missing data and ask them to add it themselves • Do not allow renewals if data is missing • Do not allow new Associates to be created without newly required fields • 5/15/2006 • Begin adding Associates to ARIES • Associates that need a CSUID can have a CSUID

How do we get the needed data? 2 of 2 • 6/12/2006 • Notify departments about any Associates they have that are still missing data • 7/3/2006 • Any Associates still missing data will have their expiration date moved to August 30, 2006 • 9/1/2006 • All Associates have necessary data or have expired. • All Associates have CSUIDs

  18. Future Plans • Associates will use CSUID, Last Name and Date of Birth to create eIdentities instead of PID/PAC • Updated user interface • Integration with Quality Address Software • Maintaining Name, Address, Phone in ARIES instead of Associates Database?

  19. Summary • More data will be required for Associates • Accuracy is important! • 4/19/2006 the Associates Database will change • To the extent possible the effort will be placed on the Associate and not administrative personnel
