1. Statement of Context Based on my preliminary research I understand that my client, who is in the specialty HVAC distribution industry, would like to update their website and give it a more “modern” feel. They wish to remove the flash component and generate more traffic to their site. My client would also like to make the navigation much more user friendly and achieve a higher search engine optimization (SEO). The site needs to be attractive, clear and concise and make the user feel comfortable using it and empowered. It is important to my client to be able to update and make changes through the backside of the website on a regular basis, meaning I will have to ensure that the design will be easy to make changes to and easy to understand. Although my client does have a good grasp of what they want to achieve, they may not be clear on what they want their site to be or look like. This could mean multiple changes and alterations to the site may occur and require additional mock-ups to be done in order to create the “perfect” look. Communication Plan Communicate with my client a minimum of once per week Schedule a face-to-face meeting with my client at the end of each phase, and possibly one in the middle of each phase to review Contact by phone and email Document all emails, phone calls, faxes, etc Keep print outs of EVERYTHING with date – if no date add a date stamp on EXACT day communication/change or anything occurs When changes made, a print out with the finalized version must be signed by the client – clearly marked with the date approved Corporate Website Revamp – Action Plan Table of Contents
8. Protocol for Implementing Changes If changes are needed to be made, other than at the time of the completion of a phase, I will allocate an area where my client will be able to navigate to on the Internet to review materials to date. From there he will be able to directly see the progress of the company website, allowing for any immediate changes to be noted and dealt with quickly and efficiently. However, all changes to the site must be in written form and marked “approved” and signed by my client. That way there is written documentation that my client did authorize the change and approved it, making it easy to keep track of all the changes and when they were assigned and made.
