General Project Description • Teamed with Hawaii Water Environment Association(HWEA) • ASCE-Sponsored Workshops: • Treatment Plant Hydraulics for Civil Engineers • Pumping Systems Design for Civil Engineers • Target audience: Consultants and City engineers
The Process ASCE-HI & HWEA collaborated to discuss inquiry submitted by local government agency ASCE-HI Responsibilities: Contact and coordination with John Wyrick (ASCE National) to secure instructor (David Hanna) Instructor’s travel arrangements Recruitment and coordination of volunteers HWEA Responsibilities: Secure venue Publicity Recruitment and coordination of volunteers ASCE-HI & HWEA would split the proceeds
Project Management,Time Frame & Milestones Event Committee consisted of members of both organizations Time Frame & Milestones Fall 2009: Initial contact made with ASCE National March 2010 Arrangements with ASCE National confirmed April 2010: Advertising of Workshop begins June 2010: Workshop held
Event Information Event publicity to memberships of both organizations: Regular Mail Email blasts Shared at other meetings prior Registration Fees:$1,150 for both or $650 for either one (similar to fee if take off-site on mainland) Registration used hard copy forms Payments received in-person/by regular mail Venue: Dole Ballrooms Inexpensive, good environment
Results Attendance 58 for Pumping Systems Design Workshop 43 for Treatment Plant Hydraulics Workshop Total Revenue: $58,100 Total Expenses:$45,200 Speaker costs Venue Costs Workshop Materials cost Total Profit: $12,900 ASCE-HI Net Profit: $6,450 Lots of positive feedback from attendees
Lessons Learned What Worked ASCE National (John Wyrick) was great to work with David Hanna was a good presenter Understanding audience’s need Local pent-up interest and available funds
Lessons Learned Memorable Lessons Constant interaction with HWEA contact was key Instrumental in coordination and making sure minimum attendance was reached Regularly tally number of attendees and start calling around after a certain point Should regularly have meetings with local agencies Provide list of available training Consider volunteers Try to hold events at venues that are helpful and/or conveniently located
Take-Aways Should communicate often with leads of other professional organizations Should explore Pay-Pal and/or Google documents for registration Should ask to publicize through other organizations After this year’s event: Need to coordinate with other organizations to avoid conflicts Have to be aware of budget restrictions at City/State agencies
