Materials Logistics Materials Logistics consists of five departments: Pony Room Central Processing Lab B-Stock Warehouse Textbook Warehouse Central Warehouse
The Pony Room • How do we send and receive documents throughout the District? • Pony Room = Inter-Office Mail • Monday through Friday pick-up and drop off for departments • Mon/Wed/Fri pick-up and drop off for schools • Maximum of 5-cartons pick-up per site per day • Personal business should not to be sent through Pony • Please be sure destination address and name are legibly printed • Call Foreman Sherry Koren (754) 321-2875 for info or to arrange a special pick-up
Central Processing Lab • Who Processes the Media Center Materials? Central Processing Lab = Media Center Materials • Coding/labeling/Dewey decimal of instructional materials • Library collection installation and organization • Assistance with the new Destiny Media Center system • Call Office Manager Ruth Costina at (754) 321-4330 for information
B-Stock Warehouse • How Do I Arrange to Have Surplus Items Removed From My Site? • B-Stock Warehouse = Surplus Materials and e-Auction • Pick-Up of surplus items and distribution of items for re-use • Requires 3290A form to ensure your PNI811 report is accurate (http://web//erp/forms/formsoptions.htm) • Send 3290A to B-Stock for Transfer Ticket generation • If you need an item (furniture, equipment, etc.) call Steve Kusuk or Gail Scarpitta(754) 321-2850 for information. • We may have what you need at the warehouse, in used but good condition, before you buy new. • An on-line site is being developed so you can see a picture of the items available at no cost to your budget. • You, or a member of your staff, may visit the building and obtain equipment and materials. • Visit the Supply Management and Logistics web page for a list of the types of items available.
What Else Does the District Do With Surplus Items? • E-Auction = publicsurplus.com • Government agencies use this site to sell obsolete materials • The auction has generated over $500,000 revenue to SBBC • The general public and SBBC employees are welcome to bid
Textbooks Warehouse • How Do I get Textbooks and Related Instructional Materials? • Call Diane Kasmarik for warehouse information at (754) 321-4350 • New Textbook Orders & Surplus Pick-Up: Facilitator, Jim Kane at 321-3324 • The numbers issued by the state for the basal core major tools of instruction can still be used when placing textbook orders: BRITE views these as “old materials numbers.” • Orders for the basal core major tools of instruction are ordered as Stock Transport Orders. • Clicking on the matchbook on the “Material” field of the Stock Transport Order will give access to the “old material number” field. Free ancillary materials will be sent automatically. • Non-core state-adopted materials will be ordered directly from the Florida State Depository as a Standard Requisition or a Framework Requisition.
Central Warehouse • Who Handles the Operating Supplies for the District? • Central Warehouse = Distribution of Operating Supplies • Cafeteria/Custodial/Furniture/Office and Art Supplies. Also • Relocation of offices and classroom furniture and materials. • Be sure to check the “Unit of Issue” when ordering, i.e. forms are in packs of 25, 50, etc., on the catalog. • Call Deryck Clarke and Richard Knapp at(754) 321-4725 for information
Warehouse Orders • How Do I Get Operating Supplies for My Site? • Warehouse Orders: • Updated Catalog – Go to the intranet (WEB), BCPS Links, Warehouse & Stockroom, Whse Catalog. The BRITE item numbers are listed and highlighted in yellow. • Backorders are held in the system, until the product arrives in the warehouse, and then released to be filled. There is no need to re-order backordered items. • Please check the unit of issue when ordering to ensure correct quantity and the ordering plant number (is 1000) and the supply plant number (is 2000). • If a requisition is not going to be approved it must be closed. Leaving it open will affect your budget (tie up your access to available funds).
Displaying Purchase Requisitions in ME53N Check Your Order in BRITE by displaying Purchase Requisitions in ME53N The release strategy tab will give you the status of the approval of your requisition, indicating whether your supervisor and/or second level approver have approved your purchase. A yellow triangle on the approver status means the approver has NOT yet approved the requisition.
The Status Tab The status tab will indicate whether or not the order is blocked and display the Stock Transport Order number if one has been generated.
The Status Tab- cont’d… Notice on this status tab, the Stock Transport Order number is displayed, along with the transactions that have taken place. If you click on the Stock Transport Order number, you can find the delivery note number. Once you click on that number, it will tell you if your order has been picked for delivery and posted to your budget.
The Status Tab – cont’d… Under the purchase order history tab, if you click on the delivery note number, you can see what has been picked and posted. If you see a “C” in the status of the line item, that item has been completed.
How Do I Get Credit to My Budget For Items Ordered In Error? • School/Dept. must send a Stock Transport Order Maintenance form via Pony or e-mail to the Central Warehouse for their returned/refused operating supplies and to the Textbook Warehouse for instructional items. (http://web/erp/forms/formsoptions.htm) • The Warehouse staff will process the maintenance form and credit the school budget. • Call the Warehouse if you need assistance 754-321-4725.
How Do I Arrange For pick-up of Expended Toner Cartridges and Bulbs? • Lexmark Copier Cartridges - Per Bid # 29-074V - the cartridge box includes instructions and a pre-paid label used to return the empty cartridge. • Place the empty cartridge in the box from your new cartridge and reseal the box. • Fill in the UPS label and place it on the box and mail in your normal business pickup or drop at any UPS service center. (If a special pick-up is requested, UPS will charge you a service fee).
How Do I Arrange For pick-up of Expended Toner Cartridges and Bulbs? – cont’d… • HP Printer Cartridges and all other copier toner cartridges: • Recycled according to Bid # 25-075E with Atlantic Green, Corp. • Arrange for pick-up by calling Maria E. Guerra at 888-470-9366 or 305-470-9366. • Materials Logistics will continue to pick-up toner cartridges not listed above, light bulbs, and batteries. • Materials should be properly packaged to ensure that the bulbs do not break or leakage of ink. • Contact the Central Warehouse to arrange for a pick-up appointment at 754-321-4725. • Schools and departments who have arranged recycling funding with their local business partners or municipalities may continue those practices to protect the environment while providing funding that supports student education projects.
