This application is designed to track the declaration of LSA Minors by non-LSA students, and to record progress toward satisfying Minor requirements. Data entry is primarily performed by LSA staff. Reporting on the data may be done by LSA and non-LSA staff. Staff in other UM Schools and Colleges will use the data entered here to add the appropriate minor to the student's record in M-Pathways. Users are authorized to add a particular minor to a student's record. Users within a department may add or edit a record for a student with a minor in that department. In cases where a student has more than one minor, staff have View access to those records outside of their own department. For a user with View access, the Save and Delete buttons will not appear on the different web pages of this application.
To begin the data entry process, search for a student by either entering his/her Emplid, Uniqname, or part or all of the last/first names. This will begin a search of data in M-Pathways. A list of records matching your criteria will be displayed. Click the link for the appropriate row of data, or press the "New Search" button to look for a different student. If the student's name does not appear after a search, then (s)he does not have a recent active student record in one of the Academic Careers approved to allow LSA Minors.
In rare instances, a student may have two different active careers outside of LSA. Their minor should be attached to just ONE of these careers. For instance, if a student is in both Engineering and Music and seeks a MATH minor, it probably makes sense to attach the minor to the Engineering record. You will need to discuss this with the student to make sure. Do not attach a minor to 2 different career records for the same student without contacting the Registrar's Office first. The system will then look in the LSA database to see if there already exists a minor declaration record for this student. If there are one or more records, select the correct record to edit, or press the "Add New Minor Declaration" button. Additionally, data from M-Pathways about this student is displayed so you can easily see what Academic Plans have been declared.
The Minor Declaration form contains two distinct sections: A) Declaration and B) Advisor Endorsement. Normally, just the top portion of the form will be completed at the point the student declares and is approved for pursuing an LSA Minor. The fields Minor and Decl. Approved By are required and must contain data in order to save the record.
When the student completes or nearly completes the minor requirements, the bottom of the form should be completed. • The Requirements field is the key field here. It must be set to one of the following values: • This student has met all academic minor requirements without current elections or additional credit. • This student will have satisfied all academic minor requirements upon successful completion of: • This student has withdrawn his/her application for this minor. In general, use the third option for students who no longer wish to pursue a minor. Deleting a record should rarely be performed, if ever.
Use the "Minor Requirements Outstanding/Comments" field for comments or as a place to list requirements that are still outstanding. The Advisor's name associated with the requirements status and comments should also be entered. When a new minor is declared for a student, an email will be generated automatically to staff in the School/College where the student is enrolled alerting them to this fact. They will then go into M-Pathways and enter the minor declaration for that student. A change in the requirements status (under Endorsement) will also trigger an automatic email.
