Review of Senators’ Responsibilities • The Faculty Senate is a representative body. Please ask your constituents often for their input. • Share Senate information with your constituents. • Read the Senate governance documents. Know the Senate’s rules and meeting structure. • Attend Senate meetings. If a senator misses three meetings, he/she can be dismissed. • Be prepared for Senate meetings. Know how to access the wiki site and read the materials prior to the meeting. • Serve on Senate working groups. • Attend plenary meetings of the faculty.
II. Announcements Working Groups
60-Hour Credit Charge: To investigate the current purpose(s) and function(s) of the rule to complete 60 credit hours outside the requirements of the major in the schools of humanities, natural sciences, and social sciences and to recommend modifications or actions as needed to better accomplish those purpose(s) and function(s).
Pass/Fail Charge: The working group will examine the purpose(s) of allowing students the option to take courses pass/fail and consider whether the specific policies regarding the implementation of the pass/fail option sufficiently meet the purpose(s). The working group will also examine how these policies affect the learning environment when students utilize the pass/fail option. The working group will recommend modifications to relevant policies or procedures needed to better implement the pass/fail option.
Academic Calendar Charge: The working group will examine the difference in the number of days of instruction between the Fall and Spring semesters in the currently utilized academic calendar formulation and consider whether this difference poses a problem. If the difference in the number of days of instruction is deemed to be a significant problem, the working group will recommend modifications to the academic calendar formulation. The working group is free to consider all aspects of the academic calendar including the start and end dates of each semester, the number of reading and exam days, and the number of academic holidays within each semester.
Advising Charge: Assess the current state of undergraduate advising and offer recommendations for suggested changes or improvements. The Working Group will examine advising for all undergraduates, including first and second year advising through divisional advisors and the Office of Academic Advising, major advising at the departmental level, and advising policies and procedures in the schools. It will also benchmark other institutions that may be succeeding in ways that will also enable Rice students to flourish at and beyond Rice. The Working Group will take into account the goals of student advising at Rice: to get reliable advice on curricular programs; to establish positive and engaged relationships with faculty; to obtain mentorship that leads to wise career and personal/professional development choices; to achieve balance in pursuing the available extracurricular opportunities at Rice.
Shared Governance Charge: Draft a University Policy on Shared Governance, describing the joint efforts of the Administration (President, Provost, Deans), Faculty, and Board of Trustees. This work will be carried out in consultation with the President’s Office.

Revised and New Policies (June) • Policy 808 Protection of University Data • Requires encryption on any device that holds personally identifiable information • Requires immediate reporting to the Information Security Office any breach or loss of such data. • Also updated to include coverage of new the European Union’s data privacy regulation and new federal requirements related to “controlled unclassified information.” • Policy 827 Renovation and Additions to Campus Buildings, Facilities and Grounds • Last revised in 1978, this has been revised to match current practices, and to ensure that all renovations and changes will meet relevant regulatory and safety standards. • Policy 849 Use of Electronic Signatures • This is a new policy to define when such signatures may be used, and the limitations on use. • Adobe sign is a great resource for electronic forms/routing, see http://adobesign.blogs.rice.edu/
Revised and New Policies (August) • Policy 202 Honorary Faculty Titles • Standardizes the process for conferring or withdrawing honorary titles • Approved by the Faculty Senate September 2018 • Policy 425 Employment Background Checks • Requires criminal background checks for all new faculty and staff • Discusses the review and decision process for such checks • Discussed at the Faculty Senate March 2019
