  1. 2018 – 2019 Human Resources CollectionPrep Training 06/07/2018

  2. Overview and Objective • The Human Resources collection contains all general education staff information as of the official staff count date. This information is used for school staff demographics, average salaries by position and education level, highly qualified status for teachers and paraprofessionals, turnover rates and educator effectiveness ratings.   • The intention of this training is to provide a “head start” – so that you may begin data entry as staff are hired and assignments are determined. • You are encouraged to begin gathering this information about your staff now (not to wait until the beginning of the school year) as the process can be time consuming. • Detailed training on the submissions process will be offered in August 2018.

  3. Human Resources Prep Steps • Review the materials on the CSI website – including last year’s training if you’d like a refresher. Utilize the tools and forms there to understand what data needs to be collected, how to record it in preparation for data submission to CSI later this year. • Returning schools, access your starting point file in FileZilla and save to your school’s network. General instructions for making changes to the file will follow. • New schools, utilize the templates on the CSI website as your Starting Point. General instructions for adding data to the file will follow. • Be sure that you review/understand the changes for this year’s collection (see File Layout Documents).

Using CSI Resources To access training, relevant submission dates and deadlines, understand the data requirements, format data, access forms, etc. – navigate to the Human Resources Collectionpage on the CSI website. Resources will be added/updates as they become a available. Screenshots are included below for reference: Trainings for new to the collection as well as returning staff. Key dates for the collection later this year and early next year.

  5. Using CSI Resources (continued) The file layout documents explain the information to include in your file and how it should be formatted. • The Additional Resources documents are important and helpful. • Please note the Coding Scenarios document provides exact codes to use for staff based upon their assignment/role. • You are encouraged to use the New Hire Form and/or the IDEA forms. Using these forms helps ensure that you are gathering the information needed for the collection. More information to follow on the next slide regarding Starting Point Files and Templates.

  6. Starting Point Files in FileZilla • Returning schools - the Starting Point File is the HR data submitted to CSI last year. It contains all staff profile and assignment data. • To access your Starting Point files, use this path in FileZilla: HR/SY 18-19/Starting Point (please also refer to screenshot below). • Download the files by dragging and dropping to the applicable folder on your school network.

Starting Point Files in FileZilla (continued) When you open the file, you’ll see that CSI has highlighted the fields in your Starting Point Files that match the changes in the File Layout – as applicable. Examples are below. Staff Profile Starting Point File Example Staff Assignment Starting Point File Example General Editing Steps • Remove of rows for staff that won’t be employed at the school in 2018-2019. • Add rows for staff that are either new to the or are taking on an additional role at the school. • Change key fields (years of experience, salary, assignments, etc.) for returning staff as appropriate. • Populate newly required/clarified fields.

Using Templates for New Files • New schools – because you won’t have a Starting Point file, you’ll use the templates instead. • As mentioned above, the templates are found under Additional Resources on the CSI website • These are screenshots examples of the templates. • You’ll be creating records within the file for all existing and new staff as well as contactors.

  9. 2018-2019 Staff Profile Changes • Teacher Probationary Status: • Clarification has been added for all teachers with job class codes of 201 – 206 • The field should be populated by all schools regardless of approved evaluation waivers • This field may be zero filled for contracted staff Please refer to the CSI Staff Profile File Layout Document for more details

  10. 2018-2019 Staff Assignment Changes Code or Definition Removal: “Demonstrates In Field Status 2” • Code or Definition Additions: • New Job Classification Code: 224 – Board Certified Behavior Analyst (BCBA)

  11. 2018-2019 Staff Assignment Changes • Code or Definition Additions (continued): • Grant/Project Funding Source Code Changes (think of this field as a “project” code; changes start on page 37) • Now required for all Special Education staff as well as Teachers and Paraprofessionals (job class codes 201, 206, 223, 415, and 419) when Special Ed Assignment Flag = 0 • Ensure that each Grant/Project Funding Code matches time worked and matches Time and Effort reporting
