  2. ePaystub – electronic paystubs Welcome to the Administrator’s tutorial for the State of Oregon's new employee electronic paystub portal - ePaystub. This tutorial is a quick look at how to register employees to use the ePaystub website. If you have any questions after working through this tutorial, remember to check the FAQ’s to see if your question is answered there.   3. ePaystub/Direct Deposit - Employee Options With the introduction of Temporary OAR 125-015-0200 that provides guidance on House Bill 2207, the standard for all state employees is direct deposit and electronic paystubs. Employees may request to receive both a paper check and stub, but they may not request to get a paper check and electronic stub. Certain employees will be allowed to receive a paper stub even though they have direct deposit. HR will determine which employees meet the specific exception criteria. Agencies are to encourage employees to utilize both direct deposit and ePaystub. *The new direct deposit form is available on the OSPS Direct Deposit page. This form allows employees to choose between the all paper or all electronic options.

  4. ePaystub Administrator Login For those employees who want to utilize ePaystub, you will need to login to https://dasapp.state.or.us/AdminPayrollPortal/Login.aspx using your OSPA credentials to pre-register them. You will need your 5 digit agency number for this login.

  5. ePaystub Employee Pre-registration Enter the employee’s OR number and click select.

  6. ePaystub Employee Pre-registration • Check the employee information and click “opt-in”.

  7. ePaystub Employee Pre-registration • Enter/Verify employee email address • If your agency uses the PPDB email field then this field will be pre-populated with the employee’s work email address. Employees can use either their work or personal email address however, so you will want to check what is on the direct deposit form and change if necessary. • Click SAVE! This will generate a “welcome” email to the employee and provide further instructions to complete their registration.

  8. ePaystub Admin Screen Descriptions Confused about the various options on the ePaystub administrator screen? Each of the next several slides will describe the function of one of the fields on the ePaystub Administrator screen. Each is distinct and knowing their function will allow administrators to better help employees when problems arise.

  9. ePaystub Admin Screen Descriptions Opt-In: This box MUST be checked to give the employee access to ePaystub. An administrator can complete all of the other pre-registration steps, but if they forget to check this box, the employee will not have access to ePaystub.

  10. ePaystub Admin Screen Descriptions Consent signed: This box is automatically checked when an employee acknowledges the Terms and Conditions of using ePaystub. This is done during an employee's first login. If an employee does NOT acknowledge the Terms and Conditions, they will not be able to use ePaystub until they do and this box won't be checked.

  11. ePaystub Admin Screen Descriptions Registration complete: This box is automatically checked when an employee finishes their registration by setting up their profile. If this box is not checked, it means that an employee has not yet registered to use ePaystub.

  12. ePaystub Admin Screen Descriptions Account locked: This box is one that can only be unchecked by an administrator. Employees can trigger a check in this box when they attempt to login, incorrectly, 18 or more times within a 24 hour period. When this box IS checked, the employee will NOT have access to ePaystub until the administrator unchecks the box. This box may be used for situations where employees are concerned about unauthorized access to their account or for terminations, among other things.

  13. ePaystub Admin Screen Descriptions Temporary lock: This box is automatically checked when an employee has three or more unsuccessful login attempts. ePaystub is designed to lock the account for 15 minutes if this occurs. The administrator will NOT be able to uncheck this box and the employee will have to wait the 15 minute lock out time. There will be a lock out expiration time next to this box on the administrator screen when it is checked.

  14. ePaystub Admin Screen Descriptions Screen reader view: This box, when checked, will create a view of the employee's paystub that screen readers can access. An example is provided here for you. This option is only recommended for those with screen reader software installed on their computers. The print version will remain unchanged.

  15. ePaystub Admin Screen Descriptions Email address: Employees can use any email address they choose in ePaystub.

  16. ePaystub Admin Screen Descriptions Reset password: An administrator can select this button when an employee has forgotten their password. This will generate an automatic email with a temporary password in it, to the employee's email address listed within the profile. When the employee logs in with the temporary password, they will then be prompted to change it. Temporary passwords expire after 24 hours.

  17. ePaystub Admin Screen Descriptions Last save: This listing will show the date, time and RACF of the last ePaystub administrator who changed or saved information in this employee's account.
