Make state assessment data available to Parents, Students and Educators Case Study 1: MiLearn
The Issue State of Michigan (MDE) Has state assessment data – M-STEP, WIDA, MiAccess, PSAT, SAT, etc. Wants to get that data to parents, students and educators Needs roster data from districts Doesn’t want to collect that separately from 6+ SIS systems Doesn’t want to have to manage parent and student accounts Can download assessment data, but only for students they tested in district The don’t get data for new students as they enroll Districts send paper versions of assessment info to parents and students Districts have the roster and parent info, but don’t have the assessment data electronically Districts
The Solution • Created MiLearn system • District e-signs an agreement in data hub • Scripts to assess that they have sufficient data in place • Auto-Config to set up integrations • Send roster to the state • Send authorization permissions data • Worked with SIS vendors to allow SSO from SIS – gradebook, admin system, parent portal, student portal • Users can navigate multiple years and multiple state assessments in one portal • Teachers can access for the students they have in class now

The Issue • If students are behind in reading K-3, they need an Individualized Reading Improvement Plan (IRIP) • Districts were doing this manually through a number of methods • Word and PDF forms • Leveraging IEP Systems • Leveraging LMS Tools (Illuminate) • Paper and Pencil • Massive statewide inconsistency • Plans are not portable between districts

Improved Timeliness and Accuracy of Michigan’s Unique Identification Code Case Study 3: UIC Services API
Identities API • Issue • When a student enrolls, a UIC needs to be entered • Searching for the UIC is either a manual process, or a download/upload process • These processes take time and introduce data quality errors • Solution • The Ed-Fi Identities API allow SIS systems to automatically request UIC • New UICs and 100% matches are automatic • Multiple possible matches return result set • Implemented by 4 of 6 SIS systems to date
When a New Student Enrolls, Schools Don’t Always Get His/Her Records In A Timely Manner Case Study 4: SnackPack Project
The Issue • Districts need to know what services students are eligible for when they enroll. • This information is not readily available – not timely from the previous district and/or parents do not know. • MSDS can mitigate this issue to some extent but with notable limitations. • Bottom line: Students may not get services they’re entitled to in a timely manner.

Snackpack Data Elements & Process • A user searches and receives a UIC in their SIS • Upon receiving the UIC, user makes a secondary call requesting snackpack data • The snackpack data is retrieved, routed through the data hubs, back to the SIS • The SIS displays the data to the user via screen and/or report

State Assessment Data Is Difficult to Download and Get Into Other Systems Case Study 5: Assessment Transfer
Assessment Data Transfer • Issue • State assessment records can be downloaded from the “Secure Site”, but each system that needs the data has to import the data separately • This often requires districts and vendors to re-create the process • The data is limited to who a district tested last year • Solution • An outbound integration communicates to MDE which students we need assessment data for • An API integration is then used by MDE to write those assessment scores to a district’s ODS • This is more timely, and gives schools data for the student’s they have enrolled today
Michigan Integrated Continuous Improvement Process (MICIP) • Issue • Our current school improvement process is very much compliance driven • We use a solution from AdvanceEd, which isn’t a user very friendly tool for districts • MDE wanted to do an RFP to have a vendor create a system • Solution • Patterned after MiRead, MDE approached the Michigan Collaboration Hub (MiCH) to design a system • The system would incorporate state data systems for historical data, and MiDataHub for current data • Designed to be a system districts will actively use throughout the year, rather than to complete for compliance
In partnership with MDE, MiCH and MiDataHub will provide leadership in the development of a co-owned continuous improvement tool: • Functional design • System development • Hosting, infrastructure, security • Single Sign-On • The integration of local data using MiDataHub • Field engagement • Communications • Requirements
