Life after Forsythe Using UNIX/SPIRES for access to legacy data
What is legacy data? • Transactions prepared prior to September 1, 2003 are “LEGACY” • Legacy transaction performed in SNAP, PCARD or any SUFIN applications are frozen… • no changes made after year end close • Legacy transaction will be copied as historical data onto new UNIX/SPIRES server, called the Spires machine • Ongoing financial transaction are performed in Oracle Financials
How do I get to legacy data? • You log on to the new UnixSPIRES server • Use Samson • Log in with your name and PIN • “General Access” Prism • You will see familiar SPIRES menu • Use “select” command to get to data • Once logged on to the SPIRES server, things should look and act the same as you are used to seeing on Forsythe PRISM

What can I do in UNIX/SPIRES? • View historical legacy data for • SNAP • PCARD • Specific access files • SUFIN files • Create reports • Access personal reports and searches previously established in Forsythe • Print data to local or attached printers
What can’t I see directly? • CHRIS • Access through ReportMart or HR • NSI • Access through ReportMart or Registrar • …OR: • Submit HelpSU request for data from these historical files: • TIP: Before DECEMBER 15, print any personal report for future reference
Other differences: • Data download • Can’t use Forsythe style “save” command on the print page • Can: • Copy and paste data • Email data to yourself
Getting HELP with Unix/SPIRES • Pilot using each application you need as it goes live • Use General Access PRISM • Submit HelpSU Request for: • problems with Samson • problems seeing data • Transaction applications will have individual assistance from application programmer
How to get authority to see SUFIN files • No change to existing process • Submit a CO-614 request form to Controller Office • Controller Office will update SUFIN AUTHORITY file SNAP Purchasing and PCARD are open files, no special authority needed. Use your assigned PIN and General Access Prism to view
How to change PIN • Every new employee is assigned a PIN • This is NOT your SUNetID, nor your SUNet password. • This is a 5-8 digit numeric identifier used with your University ID • This is the same PIN you used on Forsythe • Change your PIN at: • Personal Profile in Prism (UNIX/SPIRES) • http://stanfordyou (till ~Dec. 15) • Changed PINs are made functional in overnight processing on UNIX/SPIRES.
Special SUFIN files • Some SUFIN files are available only to central office staff, and will require special authorization for access • SUFIN Authority • Some Travel and Procurement files • Existing privileges will migrate on Nov 1 • Joe Riddle is key contact for account authorization changes to UNIX/SPIRES for Controller Office staff
