The primary method of written communication before email was LETTER WRITING • Even through EMAIL has become the most popular form of communication nowadays, it is still seen as INFORMAL by most people, and does not carry the same weight than written letters. • The general rule is that FORMAL SITUATIONS are better handled through WRITTEN letters than through email. • Letters can be broken down into 2 categories PERSONAL and BUSINESS Letters
PERSONAL LETTERS are sent from one person to another and deal with personal matters • Examples of personal letters include: • LOVE LETTERS • LETTERS OF APOLOGY • Letters of CONGRATULATION or CONDOLENCE • BUSINESS LETTERS are letters that individuals send to businesses or institutions that deal with matters related to some type of business • Examples of business letters include • letters of RECOMMENDATION or a COVER LETTER • letters of COMPLAINT Personal & Business Letter
LETTERHEAD is the heading at the top of a sheet of letter paper, usually consisting of the • Company name, address, phone/fax number, and website. • Sometimes a design/logo. maybe included • When no letter head exists be sure to include the writers ADDRESS . • The address can be placed in one of two places in a PERSONAL LETTER immediately above the DATE or two lines immediately below the SIGNATURE BLOCK Letterhead
Letters can be formatted as BLOCK or MODIFIED BLOCK style. • In a block style letter each line begins at the LEFT margin • In a modified block letter the DATE and SIGNATURE BLOCK are tabbed over to the CENTER position or the 3.0 on the ruler. Block & Modified Block
Open punctuation has NO punctuation after the salutation or the complimentary close. Dear Mr. Smith SincerelyJohnny Bord • A mixed punctuation letter has a COLON after the salutation and a COMMA after the complimentary close. Dear Mr. Smith: Sincerely,Johnny Bord Punctuation
The signature block is blank are left for the COMPOSERS SIGNATURE • If the composer of the letter does not type the letter the TYPISTS INITIALS should be included below the composers name and title • The words ENCLOSED or attached line indicates that there is more in envelope or that something is attached to the letter. • The letters CC at the bottom of a letter indicates that someone else has received a COMPLIMENTARY COPY of the letter • Letters should have 1in margins More about letters
Margins are the blank area around the top, bottom, and sides of a page • Alignment refers to the position of text between the margins • Types of alignment include • Left • Center • Right • Justified Formatting
Line spacing is the amount of space between lines of text • The Show/Hide button shows the formatting in the document, specifically the amount of spacing. • Show/hide button is located in the Paragraph group Formatting (Cont.)
Default Tabs are .5 inches • Four Types of tabs • Left • Right • Center • Decimal • Tabs can be set by using the tab box located to the left of the ruler bar Tabs

The tab dialog box can also be opened by double clicking on a tab on the ruler bar • Solid, dashed, or dotted lines which fill-in blank space before a tab are called • Leader lines • Dot Leader line Tabs (Cont.)

SAVE allows you to save something you have saved before and you corrected it. SAVE AS allows you to save something with a new identity, this can be name, location, or file type. Besides cut and paste, text can be DRAGGED and DROPPED to other locations. If you make a mistake or delete something the UNDO button will allow you to go back and unto the last thing you did. All assignments should include a HEADER and FOOTER that contains information like your name, assignment name, class period, date, and teacher. The PRINT PREVIEW command enables you to look at a document as it will appear when printed. PROOFREADER marks or symbols are an easy way to communicate that changes should be made in a document. The SIGNATURE BLOCK is the place for the writer to handwrite their name. The recipient’s name, company name, and address are called the INSIDE ADDRESS. The purpose of the letter is included in the BODY. “Yours truly” is an example of a COMPLIMENTARY CLOSING. Parts of A Business Letter
