In general • 14 reactionsreceived • Diditmakeyouthink? • To discuss later: mostly the surveyaskswhataninstitution is doing, butsometimesit is suggestedthat a aprticularapproach is desirableor the only right solution (i.e. response time 2-5 minutes). Itwouldbegreat to get a sense of what is essential, and what is variabledependingon the particularsituation.
Security Policy • The survey does mentiontwowritten procedures (missing items, theft), and the rest of the surveyraisespointsthatshouldbeconsideredwhen putting together a collectionsecuritypolicy. What set of parameters should at a minimum beincluded in the policy? • Whatother types of measurescouldbeused to ensure the collectionsecuritypolicy is adhered to? • Should the institutions’ legaldepartmentreview the policy (e.g. withregard to rulesfor readers and staff) • The securityofficershould have a network, includinglocalpolice, fire brigade officers, nationaldepartments/institutionswithtasks in the field of the security of culturalheritageobjects, prior to anyeventtaking place. The policyshouldcontain contact information as such.
Reading Room • What topics shouldbecovered in the Reading Room rules and regulations? How do youmakethemknown? Whoenforcesthem? • General topics notcovered in the survey: how do youpositionstaff in the Reading Room, where to place cameras (ifany), use of laptops and cameras • What is the best place to search readers’ belongings? Whenleaving the reading room, leaving the building? Visual inspection? Electronic? What happens when the electronicgates go off? • Is thereanydifferencebetweenlibraries and archives in this? • Are othermethods of inspectionavailable? • What tools are availableforanassessment of collectionvulnerabilities?
Building • Electronic access systems offer the opportunity to track which member of staff has been where. Do you keep these records and if so, do you keep them permanently?
Staff • What do staff with collection security tasks do to keep themselves informed? Do they have a network of coleagues in other heritage institutions? And how do they inform their colleagues and superiors?
Exhibitions • Are there any special legal issues involved in loans to exhibitions abroad? If so, where do you source your best advice?
Transport • When drawing up procedures for transport, what topics need to be considered?
