What is Purchase To Pay? • Online requisitioning, approval and goods receipting • Uses Agresso Web Requisitioning and Invoice Manager • Combines Agresso WebServices and BackOffice database • First pilot sites went live April 2006 • Progressive rollout should be complete by December 2007
How it works • User creates online requisition • Validated against Agresso database • Product code • Supplier • Account/Project/VAT Code • Requisition enters requisition workflow for approval. The number of stages for this approval is dependant on value • Additional Finance/Procurement approval required for higher value requisitions
How it works • Requisition converted into order and emailed to supplier if required • Copy order emailed to requisitioner • On receipts of goods or service, good receipt (GRN) can be entered online • Invoice scanned and registered by Accounts Payable • If no GRN in system, or invoice value exceeds GRN value by more than 1%, invoice enters invoice workflow for approval • Invoice automatically posted and paid
“IT” issues • User forgets log on details • Same log on details for WebServices and BackOffice • Password reset by Financial Systems Team • User has new PC – IP address not in firewall • Set up new IP address with ITS • New departmental PCs could be set up with “old” hostnames/IP addresses? • Current Agresso system works on PCs and with Internet Explorer only • ITS have set up terminal server for Mac and non-IE users • Copy and draft requisitions cause IE6 to crash • Microsoft bug. Awaiting fix • Upgrade to IE7 • Use terminal server to access P2P
Agresso 55sp2 • Agresso version upgrade 54sp5 to 55sp2 • Project to commence January 2008 • Estimated go live April 2008 • Improved web requisitioning screens • Improved workflow functionality • Compatable with IE, Firefox, Opera and Sahara • Compatable with Windows, Mac and Linux • PCs can run Windows 2000, XP or Vista
