Why Export Prepared Reports? • Order data in report differently • Delete unneeded or confidential data • Sort data • Format report to suit your users
Banner Data Extraction • Sometimes extracting data directly from Banner will give you the information you need • This can be particularly useful with transaction data in screens such as FGIBDST
Banner Data Extraction • Your supervisor wants to know how many non capital equipment expenses under $600 were expensed to 3180 last fiscal year • She also wants a list of these documents and vendors. • We have done this in Self Service. Now we will see how to extract the same data from Banner form FGIBDST
Computer Settings Impact Extraction Ability • Check Fast Info #868 for help if you cannot perform these data extractions. Fast Info: #868 Why doesn’t the Extract Data No Key function work?
Banner Data Extraction • Quick • Easy to read and sort • Allows easy sorting of large amounts of data
The Steps: • Run a Hyperion report containing the needed data • The following report examples will be demonstrated: • FSH0002-Labor Distribution (Payroll) Report • FOH0002-Operating Ledger Summary Report • FRH0001- Grant Ledger Detail Report • FPRHOZ02- Pcard Transaction Report
The Export Button • In order to export this data into excel, you must use the Export button • If you attempt to export a section on this report(file/export/section will be shown later), you will find you can only export it into a .txt or .jpg file • Experiment with the different report options given
Advantages of This Export Button • Saves automatically as an “.xls” file • Has a header • Has all the data for each record on one (sortable) line
Removing Confidential Data • Reports can have confidential data removed, making it easier to distribute data contained in the report that is not confidential
