Lessons Learned • Remote team is realistic, but beneficial to meet in person – loss of physical queues • No PM assignment – positives/negatives • Would have assigned clear deliverables, decide on scoring earlier for deeper review of best of class applications • More advanced work done by all team before meetings
Case 1 • Development Manager for Payroll firm • Seasonal impact on staff • Manages internal (employees) and external (contractors) team • Team resides on and off site • Needs: • Document Management • Access Control • Tool Integration • Customized solution/interface
Case 2 • Manager in Hong Kong • Low company information stream • Low collaboration tools in place to communicate with world wide team • No central place to get document
Case 3 • System Administrator in Project Management office • Needs a way to manage access/changes in documents for individual groups • No central place for everyone to go to get project updates • Real Time Collaboration for document changes
Case 4 • VP of HR • Big corporate experience in smaller shop • Used to paper distribution, but is not feasible in new role • Needs a central spot to manage, distribute, and collect forms for mostly travelling staff
Case 5 • VP of Marketing • National team • Hands on Manager who needs immediate conversation tools • Documents are massive – and emailed constantly. Versions are usually out of sequence
Best of Class applications • Lotus Domino Suite – • Sametime Chat and Meeting • Quickr team room • Sharepoint/Groove (Microsoft) • Intregrates with Microsoft LiveMeeting, Exchange, Office • Google • Huddle and Zoho also scored well.
Management Guide • Cost • Open Source • Integration • Real Time Collaboration • Easy to Use
Which to use? • If already a Domino or Exchange shop, stay with Domino or SharePoint – best collaboration across existing tools • If looking for cost effective solutions, Google and Zoho offers the best overall set of tools for the value.
